Role The role is primarily operational to provide support to applications in the WCCMT program. Acting as the point of contact for applicants, Admissions Support delivers an exceptional applicant experience while ensuring applications are processed accurately, promptly, and in full compliance with institutional policies and applicable regulatory requirements. Responsible for application review, document checks, explaining entry requirements.

Credential and Experience

· Post-secondary diploma or degree, or an equivalent combination of education and experience in an administrative role in admissions/registration or student-services.

· Minimum one year of experience in a BC private training institution or other regulated post-secondary environment.

Knowledge and Skills

· Customer service experience is beneficial.

· Excellent communication skills, both verbal and written with a warm, skilled, and persuasive tone

· High level of accuracy and attention to detail in document review and data entry.

· Ability to multitask and prioritize to manage competing deadlines and high application volumes with composure and discretion.

· Proficiency with MS Office (Word, Excel, Outlook) and demonstrated ability to learn SIS/CRM systems quickly.

· Team-player and responsible: ability to work well with others and with minimal supervision

· Professionalism: ability to take direction, feedback, and positive reinforcement

Responsibilities

· Applicants support and communication duties: Support RMT program applicants through the full application and acceptance process. Providing guidance and recommendations, handling questions, issues and providing detailed information on requirements, processes,



and policies related to enrolment. Corresponding with draft email templates for common student questions (application status, missing documents, deadlines, admission decisions, deferrals).

Virtual meeting or calling applicants to provide information and guidance on the next steps in the application and acceptance process. Maintain a record of all applicant correspondence in the SIS and CRM. Participate in follow-up communication campaigns to convert applicants to enrolled students.

· Application processing and file management tasks Collecting information and qualifying applicants for programs. Receive, acknowledge, log, review, and process applications from initial submission through to registration including payment processing. Build a checklist or tracker for processing applications.

Verify applicant documents (transcripts, identification, prerequisite evidence, English-language proficiency where required) against defined entry criteria, referring non-standard applications to the appropriate decision-maker. Track incomplete applications and follow up with applicants to obtain outstanding documents. Prepare and issue offer letters and acceptance correspondence from approved templates.

Maintain accurate, up-to-date applicant records and databases, ensuring data integrity and confidentiality. Flag potential documentation irregularities and maintain audit-ready files.
