We’re looking for a dynamic People & Culture Coordinator seeking a reliable, permanent opportunity and interested in becoming a long-term member of our team. You’ll play a key role in delivering an exceptional employee experience by coordinating People & Culture programs, processes, and operations throughout the employee lifecycle.
You will be accountable for:
- Serve as the first point of contact for employee inquiries related to People & Culture programs, policies, and processes.
- Coordinate the employee lifecycle, including onboarding, employee changes, promotions, transfers, leaves of absence, offboarding, and exit interviews.
- Facilitate 30, 60, and 90-day employee check-ins and probationary reviews.
- Prepare employment documentation, including compensation, promotion, bonus, leave, and termination correspondence.
- Administer employee benefits and People & Culture programs in partnership with Payroll and external providers.
- Coordinate the annual performance review and promotion process and support employee recognition programs.
- Maintain accurate and confidential employee records in the HRIS and ensure employee changes are communicated to Payroll.
- Prepare People & Culture dashboards and reports and analyze key workforce metrics, including headcount, turnover, retention, and recruitment.
- Monitor Quebec and Ontario employment legislation and coordinate compliance activities, including Health & Safety, First Aid,
mandatory training, and francization requirements.
- Support HRIS enhancements, workflow automation, audits, governance initiatives, and the implementation of new People & Culture programs and technologies.
- Identify opportunities to streamline processes, improve service delivery, and maintain standardized procedures, templates, and documentation.
The qualifications that count:
- College Diploma, Attestation of College Studies, Diploma of Vocational Studies, or University Certificate in Administration, Human Resources, or a related discipline.
- 3 to 5 years of Human Resources coordination or administration experience, including experience supporting the employee lifecycle.
- Experience with an HRIS; Rippling experience is considered an asset.
- Experience administering employee benefits and HR documentation.
- Knowledge of Quebec and Ontario employment legislation and HR best practices.
- Professional services experience is considered an asset.
- Excellent written and verbal communication skills in English and French. English is required to communicate with our Ottawa office and Ontario employees.
- Strong proficiency with Microsoft Office, AI tools, and technology.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong customer service, communication, collaboration, adaptability, and problem-solving skills.
- High level of professionalism, discretion, confidentiality, and accountability.
