Salary Range: CAD $70,000–$100,000 per year, depending on experience and demonstrated capability

Travel: Occasional travel within Canada may be required

Ziyutec Inc. is a Canadian engineering consulting firm providing electrical, mechanical, commissioning, and related engineering services across Canada.

Our work is increasingly focused on federal and provincial government, institutional, infrastructure, and other public-sector projects. Ziyutec operates across multiple regions in Canada, with teams and project activities in British Columbia, Ontario, Alberta, and other locations.

Ziyutec is also actively transforming into an AI-native engineering firm. We use our internally developed AEMPRO ERP platform, standardized workflows, knowledge systems, automation, and AI tools to improve project delivery, operational efficiency, quality, and collaboration.

We are looking for a highly capable, organized, and execution-oriented Corporate Operations Manager to help manage company-wide operations and ensure that management decisions, company processes, and operational priorities are consistently carried through to completion.

Position Overview The Corporate Operations Manager is a company-wide management position based in Vancouver and reporting directly to the CEO.

This is not a traditional Office Manager, Executive Assistant, or administrative support position.

The Corporate Operations Manager will oversee and coordinate Ziyutec's day-to-day corporate operations across all offices and teams and will serve as a central coordination point between the CEO, engineering teams, project management, administration, and other business functions.

The position operates under delegated authority from the CEO on corporate operational matters.

While Engineering Managers, Project Managers, and other technical leaders retain responsibility for engineering decisions, project delivery, and technical work, the Corporate Operations Manager has company-wide authority to monitor, follow up on, and help enforce established company policies, operational procedures, SOPs, ERP requirements, documentation requirements, and other management processes.

A key objective of this position is to ensure that Ziyutec continues to operate effectively and consistently when the CEO is travelling, focused on clients and projects, or otherwise away from the office.

Key Responsibilities1. Corporate Operations & Execution

- Coordinate and oversee day-to-day corporate operations across Ziyutec's offices and teams.
- Translate CEO and management decisions into clear actions, responsibilities, and deadlines.
- Monitor important company priorities, commitments, deadlines, and outstanding action items.
- Follow up proactively with responsible employees and managers to ensure matters are completed properly and on time.
- Identify operational bottlenecks, recurring problems, or execution gaps and work with responsible managers to resolve them.
- Escalate significant operational, staffing, project, or compliance issues to the CEO when management decisions are required.
- Maintain effective operating discipline across the company regardless of the CEO's physical location.

1. Company-Wide Process, SOP & ERP Compliance

- Monitor implementation of company policies, SOPs, workflows, and internal management requirements.
- Ensure that projects, proposals, tasks, required documentation, and other operational information are properly maintained in AEMPRO and related company systems.
- Monitor completion of required project administration, documentation, QA/QC processes, and internal workflow steps.
- Follow up on incomplete, overdue, or non-compliant items.
- Identify repeated process or compliance problems and escalate them appropriately.
- Support periodic internal operational and process audits.
- Help management continuously simplify and improve company processes rather than adding unnecessary administrative work.

The Corporate Operations Manager owns operational process oversight and follow-through. Engineering and Project Management personnel retain ownership of their respective technical and project responsibilities.

1. Engineering & Project Management Coordination





- Coordinate with Engineering Managers, Project Managers, engineers, designers, and other project personnel on operational matters.
- Monitor project milestones, deliverables, outstanding actions, resource requirements, and administrative deadlines.
- Support effective coordination among engineering disciplines, project management, administration, and external consultants.
- Identify projects requiring management attention due to schedule, resource, documentation, or execution issues.
- Help ensure that required project-management and corporate procedures are consistently followed.
- Support project startup, internal coordination, project close-out, and other company-wide project processes.

The Corporate Operations Manager does not replace the Project Manager or Engineer of Record and does not override qualified engineering or project-specific technical decisions.
1. CEO Office & Management Support

- Work directly with the CEO on company priorities, staffing matters, operational issues, and management follow-up.
- Act on behalf of the CEO on delegated operational matters.
- Ensure CEO decisions and instructions are translated into actions and followed through to completion.
- Prepare concise management summaries, outstanding-action reports, and decision items when required.
- Handle selected internal and external matters on behalf of the CEO within delegated authority.
- Reduce the CEO's involvement in routine operational follow-up and administrative coordination.
- Accompany or represent the CEO/company at selected meetings, business functions, industry events, or other professional activities when appropriate.

1. Corporate Administration

Oversee and coordinate corporate administrative functions, including:
- Office administration
- HR administration and employee documentation
- Recruitment and onboarding coordination
- Accounting and bookkeeping coordination
- IT and technology coordination
- Corporate security and personnel security administration
- Government security-clearance coordination
- Vendor and subcontractor administration
- Corporate records and documentation
- Internal policies and procedures

Specialized accounting, IT, engineering, legal, or security functions may continue to be performed by designated internal personnel or external professionals. The Corporate Operations Manager is responsible for ensuring that these functions are properly coordinated and followed through. Administrative and bookkeeping personnel may report to the Corporate Operations Manager for day-to-day operational management.
1. Proposal & Business Operations Coordination

- Coordinate administrative and operational aspects of proposals, standing offers, and corporate submissions.
- Ensure proposal opportunities, responsibilities, deadlines, and required documentation are properly tracked.
- Coordinate with technical staff responsible for proposal content.
- Support corporate qualifications, consultant information, security documentation, and other recurring submission requirements.
- Help maintain organized and reusable corporate information for proposals and business development.

This position is not primarily a sales or marketing role.
1. AI-Native Operations & Continuous Improvement

Ziyutec is actively developing and adopting AI-enabled operating systems. The Corporate Operations Manager will be expected to actively participate in this transformation.

Responsibilities include

- Use AI, AEMPRO, automation, and digital workflows as the default approach for routine administrative and coordination work where practical.
- Identify repetitive manual work that can be simplified, automated, delegated, or eliminated.
- Work with management and the internal development team to improve AEMPRO workflows and company operating processes.
- Help employees adopt new AI-enabled workflows and management tools.




- Use data and system-generated information to identify exceptions and operational issues rather than relying primarily on manual supervision.
- Continuously seek ways to reduce administrative workload while improving accountability and execution.

The objective is not to create more administration, but to make the company operate with less manual work, better visibility, and stronger execution.

Qualifications

- Bachelor's degree or equivalent combination of education and relevant professional experience.
- Approximately 5+ years of relevant experience in operations, professional services, engineering/architecture consulting, project coordination, project management, business operations, or a related environment.
- Demonstrated ability to manage multiple priorities, people, deadlines, and operational responsibilities simultaneously.
- Strong execution and follow-through skills — able to take an objective or management direction and independently drive it through to completion.
- Excellent written and verbal English communication skills.
- Strong interpersonal skills and confidence communicating with professionals, managers, clients, consultants, and senior leadership.
- Highly organized and detail-oriented, while able to maintain a broader view of company priorities.
- Comfortable following up with and holding professionals and managers accountable for commitments, deadlines, and company requirements.
- Strong judgment and ability to determine when to act independently and when an issue requires escalation.
- Able to work effectively with limited day-to-day supervision.
- High degree of professionalism, discretion, reliability, and integrity.
- Comfortable working in a growing, entrepreneurial organization where responsibilities may cross traditional departmental boundaries.
- Strong interest in using AI, technology, and automation to improve business operations.

Preferred Experience Experience in one or more of the following areas would be considered an asset:
- Engineering, architecture, construction, or qualified consulting firms
- Government or institutional projects
- Project management or project controls
- Federal or provincial government contracting
- Government standing offers
- Security-cleared working environments
- ERP, CRM, project-management, or workflow systems
- AI-enabled business tools and process automation
- Proposal coordination
- Multi-office or geographically distributed organizations

Security Requirements Ziyutec performs work for government and security-sensitive clients.

The successful candidate must be able to meet applicable personnel-security and reliability requirements associated with the position and assigned projects.

Eligibility for Canadian government security clearance will be an important consideration for this position.

Most importantly, we are looking for someone who can help turn decisions into execution and commitments into completed results.

Compensation

CAD $70,000–$100,000 per year, depending on experience, capability, and demonstrated fit for the position.
