HR & Client Billing Coordinator (Part-Time)
Concierge Care Calgary | Calgary, AB
Part-Time | 15–20 Hours per Week | $22–$25/hour
About Concierge Care Calgary
Concierge Care Calgary is a locally owned, nurse-led home care company providing personalized care to clients throughout Calgary and surrounding communities.
Our office team supports more than 100 caregivers who provide care in our clients' homes every day. As we've grown, so have the administrative needs behind the scenes.
We're looking for a highly organized and detail-oriented HR & Client Billing Coordinator to join our team on a part-time basis.
This is a unique position combining HR administration with healthcare billing and claims processing. We're looking for someone who enjoys keeping things organized, working with details and making sure important tasks don't fall through the cracks.
If you're the kind of person who notices when something doesn't quite add up, follows through until an issue is resolved and takes pride in accurate, well-organized work, we'd love to hear from you.
What You'll Be Doing
This position supports two significant areas of our business: HR administration and client billing.
HR & Employee Administration
Working alongside our management and administrative team, you'll help with:
- Maintaining confidential employee files and records
- Supporting employee onboarding and offboarding
- Collecting and tracking required employee documentation and credentials
- Monitoring certifications, training requirements and document expiry dates
- Assisting with recruitment and applicant communication
- Preparing routine HR letters, forms and employee documentation
- Supporting employee orientations and onboarding
- Updating employee information in our internal systems
- Responding to routine employee questions and directing more complex matters to management
- Helping keep HR processes organized and up to date
- Assisting with other HR and administrative projects as needed
Client Billing & Claims You'll also be trained in our client billing processes, including claims associated with Alberta's Client Directed Home Care Invoicing program.
Responsibilities will include
- Preparing and submitting billing and claims accurately and on schedule
- Reviewing information and supporting documentation before submission
- Identifying missing information, discrepancies and potential errors
- Monitoring submitted claims and following up on rejected or outstanding items
- Reconciling billing information with our internal records
- Maintaining accurate billing documentation
- Investigating discrepancies and following through until they are resolved
- Communicating with our internal team when corrections or additional information are required
- Learning additional billing and reconciliation processes as your knowledge of the role grows
Previous experience with Alberta Blue Cross or Client Directed Home Care Invoicing is an asset, but it is not required. Training will be provided. Who We're Looking For For this position, attention to detail is extremely important.
You may have experience in HR, healthcare administration, insurance claims, medical billing, payroll, bookkeeping or another administrative role where accuracy and confidentiality matter.
More importantly, we're looking for someone who:
- Is exceptionally organized and accurate
- Naturally notices small details and inconsistencies
- Can manage several ongoing tasks and deadlines
- Takes initiative and follows through when something needs to be resolved
- Is comfortable learning detailed processes and following them consistently
- Handles confidential employee and client information with discretion
- Communicates professionally and respectfully
- Is comfortable working independently while also being part of a collaborative team
- Is confident using computers and learning new software
- Can adapt when priorities change
- Isn't afraid to ask questions when something doesn't look right
Previous HR or billing experience would be an asset, but we're willing to train the right person. Strong administrative skills, good judgment and exceptional attention to detail are more important to us than having a specific HR designation. What It's Like to Work With Us
We're not a large corporate office or a franchise. We're a locally owned Calgary company with a close-knit office team that works together to support our clients, families and caregivers.
Home care can be busy and occasionally unpredictable. We help one another when things get hectic, communicate openly and genuinely care about the work we do.
We're looking for someone who wants to become a valued part of that team—not simply complete a list of tasks.
As you become comfortable in the position, there may also be opportunities to learn additional areas of our home care operations and expand your responsibilities over time.
