Summary
Reporting to the President &
- Vice-Chancellor, with a functional reporting relationship to the General Counsel &
- University Secretary, the Manager, Offices of the President and Secretariat provides strategic leadership and operational oversight for the Office of the President and the University Secretariat. The position ensures the effective operation of the President's Office and governance functions supporting the Board of Governors, Senate and their respective committees; oversees governance administration, executive communications and special projects; coordinates Board, Senate and committee activities; provides strategic and operational support to the President and General Counsel &
- University Secretary; and ensures the effective flow of information among governance bodies, senior leaders, government officials, community partners and the university community while providing advice on governance processes, institutional priorities, emerging issues and executive office operations.
The position supervises administrative support employees and is responsible for establishing effective systems, processes and controls that support governance, executive decision making, records management, and organizational priorities. The incumbent exercises considerable judgment, discretion and diplomacy while handling highly sensitive and confidential matters and determining operational priorities within the President's Office and will often act on behalf of the President, Board or Secretariat.

Office of the President Leadership
- Oversees the effective day-to-day operation of the Office of the President,
establishing processes, priorities, and practices that support a highly effective executive office.
- Develops and maintains systems for tracking strategic priorities, commitments, decisions, deliverables, and follow-up actions arising from the President’s Office.
- Establishes and oversees administrative systems, procedures and service standards.
- Identifies and prioritizes issues requiring the President's attention and ensure timely follow-up.
- Coordinates the preparation and flow of briefing materials, reports, correspondence, presentations, agendas, and other materials required by the President.
- Coordinates information flow between the President, Senior Leadership Team, Board of Governors and university partners.
- Manages executive correspondence, briefing materials, presentations and reports.
- Leads and coordinates cross-functional projects and strategic initiatives on behalf of the President's Office.
- Represents the President's Office in planning and coordinating institutional events and activities.
Board of Governors Secretariat
- Leads the administration of governance processes supporting the Board of Governors and its standing committees.
- Monitors Board decisions and action items and coordinates follow-up activities.
- Assists the General Counsel &
- University Secretary in governance policy reviews, bylaw updates and governance best practices.
- Researches governance matters and prepares briefing notes, analyses and recommendations for the Board of Governors and its committees.
- Develops governance guides, training materials and service standards, and monitors adherence to established standards.
- Coordinates the annual governance calendar and meeting schedules.
- Oversees preparation and distribution of Board and committee agendas, meeting packages and supporting documentation.
- Maintains official Board records, resolutions, minutes and governance documentation.
- Ensures governance records and documentation are maintained in accordance with University requirements, applicable legislation and policy.
- Supports orientation and ongoing education of Board members.
- Presents governance briefings and orientation materials to Board members and committees as required.
- Supports effective communication between the Board, President, senior leadership and other University partners.
Senate Secretariat
- Leads and coordinates the administrative and logistical functions supporting Senate and its committees.
- Works collaboratively with the appropriate Senate leadership and University offices to ensure matters are appropriately prepared, routed, and brought forward for consideration.
- Supports the effective planning and execution of Senate meetings, retreats, workshops, elections, and other governance activities.
- Maintains accurate and confidential Senate records and documentation.
- Ensures Senate records and documentation are maintained in accordance with University requirements, applicable legislation, policies, and governance procedures.
- Monitors Senate decisions and action items and ensures appropriate follow-up and communication.
- Supports orientation and ongoing development activities for Senate members, as required.
- Supports effective coordination between Senate, the President, senior leadership, and relevant University committees and offices.
Governance and Institutional Coordination
- Provides advice and operational support regarding governance processes, protocols, timelines, and requirements.
- Develops and maintains governance calendars and systems that enable the University to anticipate and coordinate key Board, Senate, executive, and institutional activities.
- Ensures governance-related processes are coordinated across relevant University offices and are delivered consistently and efficiently.
- Identifies opportunities to strengthen governance practices, improve information flow, and enhance the experience of Board and Senate members.
- Supports the development, review, and implementation of policies, procedures, protocols, and administrative practices relating to the President’s Office and institutional governance.
- Maintains a strong working knowledge of the University’s governance structure, legislation, policies, bylaws, and institutional priorities.
Executive Support to the President
- Provides senior-level executive support to the President &
- Vice-Chancellor.
- Coordinates the President's priorities, commitments and strategic activities.
- Reviews and assesses incoming issues and correspondence and determine appropriate actions.
- Prepares confidential briefing notes, reports, presentations and background materials.
- Coordinates meetings involving government representatives, donors, partners, Indigenous communities, elected officials and other external partners.
- Ensures effective tracking and completion of commitments made by the President and the President's Office.
Administrative Support Leadership
- Directly supports and upskills administrative support staff within the Office of the President and Secretariat.
- Manages workload distribution and workflows priorities in concert with their respective supervisors.
- Fosters a service-oriented, collaborative and accountable work workplace.
- Directly supervises the Administrative Assistant to the President and Senate Administrative Assistant.
REQUIRED TRAINING AND EXPERIENCE
- Bachelor's degree in Business Administration, Public Administration, Governance, Communications, Law, Political Science, or a related discipline.
- Project Management certification or governance-related credentials would be considered an asset.
- Minimum seven years of progressively responsible experience supporting senior executives, boards of governors, boards of directors, or executive governance functions.
- Experience in a post-secondary, public-sector, government or broader public-sector environment is preferred.
- Experience supporting governance processes, board administration and committee operations.
- Experience leading projects and coordinating complex organizational initiatives.
- Experience supervising administrative staff.
REQUIRED KNOWLEDGE, ABILITIES AND SKILLS
- Thorough knowledge of governance principles, board administration practices and meeting procedures.
- Understanding of legislation, bylaws, policies and regulatory requirements applicable to public post-secondary institutions.
- Exceptional judgment and discretion in handling confidential and sensitive information.
- Excellent written communication skills, including briefing notes, correspondence, reports and governance documents.

Additional Details This position requires a meaningful on-campus presence. Standard working house are 8:30 am - 4:00 pm, M-F. However, occasional non-standard working hours will be required due to operational need.
