We are seeking a highly organized and proactive Office Manager to oversee daily operations within our office environment. The ideal candidate will possess solid leadership skills, excellent communication abilities, and a comprehensive background in administrative functions.
This role is vital in ensuring smooth workflow, maintaining office efficiency, and supporting team development. The Office Manager will be responsible for supervising staff, managing vendor relationships, and handling essential administrative tasks and multi-line phone systems.
Responsibilities
- Responsible for payroll, KPI tracking, coordination with bookkeeper, HR, and day-to-day operations of a busy medical office
- Manage scheduling, calendars, and patient flow
- Supervise and support front-desk and administrative staff
- Maintain a high standard of patient service and professionalism
- Oversee payroll for clinic staff, including tracking hours, processing payments, and coordinating with the accountant.
- Oversee internal financial tracking and prepare accurate information for the bookkeeper and accountant
- No insurance billing required.
- Track and report key performance indicators (KPIs) related to operations, scheduling, and office performance
- Oversee scheduling, patient communications, and follow-ups.
- Maintain clinic policies, procedures, and compliance with safety standards.
- Lead and support administrative staff to optimize efficiency.
- Assist with HR tasks such as onboarding, training,
and team coordination.
- Support onboarding, training, and performance of administrative staff
- Identify workflow improvements and operational efficiencies
- Liaise with vendors, suppliers, and external partners
Qualifications
- 3+ years of experience as an Office Manager
- Experience in a medical, dental, or healthcare office preferred but not required
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency with office software including payroll (Microsoft Office, scheduling software, EMR systems a plus).
- Detail-oriented, proactive, and capable of working independently.
- Experience with payroll management and clinic financial reporting is an asset.
