About Our Practice

We are a welcoming family and general practice clinic committed to providing exceptional, patient-centred care to our community. We are looking for a dedicated and organized Medical Office Assistant to join our team on a part-time basis and help us deliver a smooth, positive experience for every patient.

Position Summary

As a Medical Office Assistant, you will be the first point of contact for our patients in person and by phone. You will manage the front desk, coordinate scheduling, and support our clinical and administrative team to ensure daily operations run efficiently.

Working hours: 8-26 hours /week in office

Key Responsibilities

- Greet and check in patients in a professional and friendly manner
- Answer multi-line phones, triage calls, and relay messages accurately
- Schedule, confirm, and manage patient appointments using an EMR system
- Process referrals, requisitions, and fax correspondence
- Collect and verify patient demographic and health card information
- Handle billing, co-payments, and end-of-day reconciliation
- Maintain patient confidentiality in accordance with BC PIPA and applicable provincial regulations
- Assist with general office duties including scanning, filing, and supply ordering
- Communicate effectively with physicians, specialists, and other healthcare providers
- Liaise with divisional staff, clinic team members, and other departments to coordinate workflow and ensure seamless daily operations
- Measure and record patient vital signs including blood pressure, temperature, weight, and height prior to physician consultations
- Provide patients with printed education materials, follow-up care instructions,



and relevant health resources
- Manage prescription refill requests and assist with prior authorization processes
- Proactively manage no-shows and cancellations by filling appointment gaps to optimize the daily schedule
- Prepare and maintain exam rooms, ensuring they are clean, stocked, and ready for patient use
- Disinfect and sterilize equipment and clinical supplies in accordance with infection control protocols
- Restock exam rooms and clinical areas with necessary supplies and medical materials
- Collect, label, and process patient specimens for laboratory submission
- Assist physicians with minor surgical procedures and other clinical tasks as directed

Qualifications

Required:

- Fluency in English is required
- Completion of a recognized Medical Office Assistant program or equivalent experience
- Advanced computer proficiency required; full training will be provided on our state-of-the-art EMR system
- Strong knowledge in medical procedures and sterilization techniques including autoclave operations.
- Strong knowledge of medical terminology
- Demonstrated ability to multitask in a fast-paced clinical environment
- Strong self-learning skills with the ability to pick up new systems and processes quickly
- Valid status to work in Canada (Canadian citizen, permanent resident,



or valid work permit)
- Must provide a satisfactory criminal record check as a condition of employment
- Valid First Aid and CPR certification (or willingness to obtain prior to start date)
- Ability to remain calm, composed, and professional when managing difficult or high-stress situations
- Professional, empathetic, and patient-focused attitude
- Cultural sensitivity and humility when working with diverse populations, including Indigenous peoples, refugees, newcomers, and patients from varied cultural and linguistic backgrounds

Assets:

- Proficiency in additional languages beyond English is a strong asset e.g. Arabic , Punjabi, Hindi, Korean, Mandarin
- Experience in a family practice or walk-in clinic setting
- Familiarity with BC MSP billing
