COMPENSATION: CUPE Local 4642 Clerical-Technical – Payband 3B $34.83 to $39.02
HOURS: 7.0 hours per day – 12 Month Classification
JOB SUMMARY:
Reporting to the Director of Facilities, the Facilities Accounting Coordinator is required to process the accounting information for the Facilities Department, perform all the duties involved with the accounting records, manage, maintain, and facilitate the functions of a busy office environment and ensure an efficient office communication network to link the Board Office, schools and appropriate agencies. The incumbent is responsible for analyzing and verifying the accuracy of accounts and statements that are processed, reconciling information, and monitoring capital project expenditures. S/he must be able to collate information from a wide variety of sources and be conversant with the Division’s budget, financial and policy regulations and departmental guidelines.
The incumbent is also responsible for administrative duties such as word processing, creating and maintaining spreadsheets and divisional databases, preparing confidential documentation, record keeping and filing, as well as tracking custodial staffing, vacations and replacements.
REQUIRED AND PREFERRED QUALIFICATIONS:
Education and Training:
- An accounting designation or the completion of the third level of a professional accounting program (CA, CMA, CGA);
training with MS Office Systems including advanced Excel, word processing, and Power-Point.
Experience, knowledge and skills:
- Five years of recent experience in similar position, preferably in school division or similar setting, and experience in several office settings; an equivalent combination of related experience, training and education may be considered.
- Experience with capital assets and projects in an accounting environment is required.
- Excellent knowledge and technical skills in accounting, budgeting,
and control management.
- Experience with evaluating office systems and implementing new processes and procedures.
- Ability to develop systems, protocols and standards to organize electronic and manual files and records.
- Advanced spreadsheet and data management skills (creating, editing, formatting, manipulating, analyzing, problem-
solving).
- Strong word processing and document formatting skills with ability to use current advanced features and shortcuts (letters,
reports, newsletters, presentations).
- Excellent written communication skills (spelling, grammar, punctuation, sentence structure).
- Strong email skills including use of advanced features, effective filing structures, calendars and task managers.
- Ability to learn new software programs and adapt to technology changes is required.
- Ability to lead, implement, and manage department-specific software.
- Strong understanding of the role of a supervisor/office manager; formal training in supervision skills and/or organizational
behaviour is preferred.
- Ability to work effectively as a team member and independently.
- Ability to work harmoniously with colleagues and managers, and to interact effectively with administration, staff, students
and the public.
- Strong attention to details, organizational and prioritizing skills.
- Ability to meet multiple demands and deadlines in a busy office environment with many interruptions.
- Good understanding of the role of confidentiality and privacy issues in an office setting.
- Ability to deal with difficult and sensitive situations with tact and diplomacy.
- Previous administrative experience in a school setting is an asset.
- Excellent verbal and written skills in both official languages (English and French) may be required.
CONDITIONS OF EMPLOYMENT:
- Must be available to work overtime, if needed.
- Satisfactory Criminal Record Check, including Vulnerable Sector Search.
- Clear report from the Child Abuse Registry.
- Completion of Respect In School or equivalent training.
- Review and comply with Divisional policies and guidelines.
- Continued employment is subject to maintaining legal eligibility to work in Canada.
