We’re a mission-focused financial institution looking for a System and Operations Lead who will support leadership in Multifamily’s system-aligned operational work, ensuring that technology configurations, workflows, and documentation accurately support program administration. The person in this role translates complex system behavior into clear guidance, supports staff through change, and builds shared understanding across diverse audiences making it ideal for someone who enjoys problem solving, innovation, and helping people successfully adopt new tools and processes.
The role requires a candidate with both deep technical/system understanding and exceptional communication, collaboration, and change-leadership skills.
Essential Job Duties
- Lead project and change management for division-wide system, workflow, and operational initiatives, communicating clearly across technical and non-technical audiences.
- Serve as Multifamily’s Salesforce subject matter expert, documenting and explaining configuration logic in a way that builds shared understanding.
- Coordinate operational components of annual funding cycles, ensuring workflows, configuration, and documentation reflect accurate system behavior and user needs.
- Develop and deliver training and user guidance that supports staff adoption and confidence, using empathy, clarity, and strong communication skills.
- Maintain divisional documentation (guides, templates, timelines, scoring documentation) that is accessible, consistent, and easy for wide-ranging audiences to understand.
- Partner with MA2 and MA3 analysts to solve system problems, innovate workflow improvements, and ensure aligned execution across operational and technical tasks.
- Validate and test system behavior, identifying issues, recommending solutions, and communicating impacts to stakeholders.
- Perform other duties as assigned.
Minimum Qualifications To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. - Three (3) years of experience in project management, change management, or business analysis sufficient to lead system-aligned workflow, documentation, and operational initiatives across the Multifamily Division.
- A Bachelor’s degree in Business Management, Supply Chain Management, may substitute for 12 months of experience – or – a Master’s degree in the listed fields may substitute for 18 months of experience
- Demonstrated experience working with complex systems, workflows, or databases, including the ability to perform business analysis such as gathering requirements, documenting workflows, assessing impacts, translating operational needs into clear system or process specifications, and understanding how system changes move through testing and the software development lifecycle.
- One (1) year of experience with Salesforce configuration or administration supporting business workflows or processes.
- Demonstrated ability to identify workflow or system issues and propose clear, creative, and actionable solutions that improve accuracy, efficiency, or user experience.
- Strong interpersonal, facilitation, and written communication skills, including the ability to explain technical or workflow information clearly to both technical and non-technical audiences and support change adoption and training needs.
- Demonstrated ability to support user adoption of systems or workflows, including gathering feedback, troubleshooting issues, and providing user guidance such as training or office hours.
- Experience leading system-related or workflow-related initiatives that required coordination across multiple stakeholder groups, including anticipating issues and maintaining organized, calm problem-solving approaches.
Preferred Qualifications
- Experience synthesizing policy, program requirements, technical system behavior and communicating configuration logic or workflow impacts clearly to business stakeholders and technical teams.
- Formal change-management training (Prosci or equivalent) with demonstrated application of structured methodologies in complex, cross-divisional system, workflow, or program transitions.
- Experience supporting affordable housing lending or rental housing program administration, including Multifamily underwriting, compliance, or administration of funding cycles, with experience engaging program staff or external applicants to ensure workflows meet business needs.
- Demonstrated ability to build user adoption through structured training, coaching, office hours, or readiness strategies tailored to both business users and external partners.
- Demonstrated cultural competency and commitment to equity, with experience integrating cultural considerations into system and process design and ensuring data practices support equitable program delivery and decision-making.
Physical Requirements Requires moving office items such as file folders and small office tools. A certain amount of walking and standing is often necessary in carrying out job duties.
