Currently, we are seeking a dedicated and organized Office Administrator to join our team.

This position encompasses a range of responsibilities, including client management, computer-focused tasks, light bookkeeping and data-entry, and office cleaning.

As the Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our accounting firm. We are searching for an adaptable, detail-oriented, and customer-centric individual to contribute to the seamless functioning of our office.

Responsibilities will include, but not be limited to:

Engage with clients professionally, providing exceptional customer service and addressing their inquiries effectively through email, phone, or face to face. Schedule client appointments and maintain the appointment calendar. Prepare packages for meetings and filing of tax returns with a laser focus on detail.

Utilize various software tools for data entry, document preparation, and general administrative tasks. Support the team in managing digital files and records. Using software to assist with workflow management and support the team in any way possible.

Assist in basic bookkeeping tasks, such as data entry, invoice processing, and expense tracking. Collaborate with the accounting team to maintain accurate financial records. Explore ways to digitize and make paper processes electronic. Strong computer skills are essential.

Regularly clean and maintain the cleanliness of common areas, including reception, conference rooms, and the kitchen. Monitor and organize office supplies to ensure availability.

Assist with general administrative duties, such as filing, scanning, and organizing documents. Coordinate internal and external communications, including emails, phone calls, and correspondence.





Requirements

- High school diploma or equivalent qualification.
- Proven experience in a similar administration and reception type roles.
- Familiarity with tax and bookkeeping principles and practices.
- Proficiency in using computers and standard office software.
- Strong organizational and time-management skills to handle multiple tasks effectively.
- Exceptional communication and interpersonal abilities to engage with clients and team members.
- Detail-oriented mindset to ensure accuracy in bookkeeping and administrative tasks.
- Ability to maintain confidentiality and handle sensitive information discreetly.
- Self-motivated, reliable, and capable of both independent and collaborative work.
