Who we are

Dairy Farmers of Ontario (DFO) is the marketing board for the largest sector of Ontario agriculture. Our mission is to provide leadership and excellence in the production and marketing of Canadian milk for a dynamic, profitable growing dairy industry. DFO’s current operations include 220 trucks transporting more than 3.1 billion litres of milk to 80 dairy processing plants within the province each year.

About the Role The Operations Coordinator provides operational and administrative support to the team, adhering to all regulatory and compliance requirements. The role serves as a central coordination point for departmental activities, ensuring key processes, communications, reports, records and regulatory documentation are completed accurately and within established timelines. With a focus on continuous improvement, this role will support the team in identifying opportunities to enhance processes and workflows.

A valid Class G driver’s license, access to a vehicle and willingness to spend approximately 10% of time away from the office and home are requirements of the position.

To succeed, you will have:

- Post-secondary degree or diploma in Business Administration or a related field
- 3+ years of experience in administration, operations support within a fast-paced environment
- Experience working in a regulatory/compliance environment adhering to standard processes, timelines and formats an asset
- Strong organizational and multi-tasking skills
- Strong attention to detail and demonstrated ability to proofread detailed documents
- Strong and accurate verbal and written communication skills
- Strong analytical skills




- Tech savvy and highly proficient with Microsoft Office Suite, SharePoint and PDF tools, with advanced skills in organizing and managing data, mail merge, document formatting and PDF creation/editing
- Ability to handle confidential and sensitive information with discretion
- Dairy knowledge an asset
- Bilingual (English/French) an asset

Overview of the job responsibilities:

1. Provide administrative and operational support to the team and committee groups including the preparation, coordination and distribution of correspondence, reports, policy documents and communications, ensuring accuracy, consistency and adherence to approved templates, processes and distribution requirements.
2. Maintain an efficient document management system to support operations, allowing for quick and seamless access to files.
3. Maintain and revise departmental SharePoint files, ensuring accurate documentation and accessibility as directed.
4. Maintain and track departmental calendars, recurring activities, deadlines and deliverables, proactively following up to ensure established timelines are met.
5. Maintain and distribute employee work schedules, including regular and on-call schedules, ensuring timely communication with relevant teams and stakeholders.
6. Prepare and maintain required quality and compliance documentation, ensuring information is accurate, complete, and aligned with applicable regulatory requirements.
7. Coordinate and distribute materials for training and certification programs, including participant communications, course materials, certificates,



completion documentation, and other related resources.
8. Coordinate logistics for departmental and organizational meetings, conferences, and events, including tracking attendance, arranging venues, managing schedules, coordinating materials, and supporting other event-related requirements.
9. Support continuous improvement initiatives by identifying opportunities to streamline administrative processes, improve workflows, and enhance operational efficiency.

Salary Range:

$60,000 to $70,000
