Patient Services & Administrative Coordinator – Part-Time

Advance Health & Wellness Centre and our sister clinic, Cura Medical Group, are looking for a friendly, organized, and proactive Patient Services & Administrative Coordinator to join our growing multidisciplinary team.

Our clinics provide a wide range of health and wellness services, including Registered Massage Therapy, Physiotherapy, Chiropractic Care, Clinical Counselling, Acupuncture, Kinesiology, Dietetics, Naturopathic Medicine, medical aesthetics, and more.

This is a great opportunity for someone who enjoys working with people, thrives in a busy clinic environment, and is looking for a position that combines patient care, reception, and administrative responsibilities.

The Position

This is a part-time position averaging approximately 19–25 hours per week.

Our current scheduling needs include:

- Tuesday
- Thursday
- Friday
- Approximately 2 Saturdays per month

Our clinic operates Monday–Friday from 8:00 AM–8:00 PM and Saturdays from 8:30 AM–4:00 PM. Schedules are prepared month-to-month. Some flexibility is required, as shift times and additional hours may occasionally change depending on vacation coverage, staffing, and clinic needs.

What You'll Be Doing

As part of our administrative team, you'll help create a welcoming and organized experience for both patients and practitioners. Responsibilities include:

- Greeting patients and providing exceptional customer service
- Answering phones, emails, and general patient inquiries
- Scheduling and managing appointments
- Processing and recording patient payments
- Preparing invoices and receipts
- Managing extended health insurance and third-party billing
- Assisting with general accounts receivable and administrative duties
- Maintaining accurate patient information and electronic records
- Updating and managing Excel and Google Sheets




- Assisting with clinic inventory and medical supplies
- Supporting practitioners and clinic management with day-to-day administrative tasks
- Communicating clinic services, new practitioners, and available treatments to patients
- Maintaining an organized, professional, and welcoming reception area
- Assisting with light clinic housekeeping, including linens and general tidiness
- Following clinic policies, privacy procedures, and administrative protocols

What We're Looking For We're looking for someone who is dependable, personable, and comfortable taking initiative.

Our ideal candidate

- Has previous medical, healthcare, reception, or administrative experience
- Has an MOA certificate/diploma or at least 1 year of relevant office experience
- Has experience with JaneApp or another EMR/clinic management system — JaneApp experience is preferred
- Is comfortable using POS/payment systems
- Has working knowledge of Microsoft Word, Excel, and Google Sheets
- Is highly organized and able to prioritize in a busy workplace
- Is proactive and able to anticipate what needs to be done
- Has excellent written and verbal communication skills
- Is friendly, professional, and confident interacting with different personalities
- Has strong attention to detail and note-taking skills
- Is reliable, responsible, and honest
- Is comfortable learning new systems and procedures
- Has an interest in health and wellness
- Is able to attend occasional staff meetings and training sessions,



which may be scheduled on a Sunday

Experience with extended health insurance billing, ICBC, WorkSafeBC, or third-party billing is considered an asset. What We Offer
