Location
The Program Coordinator (Resource, Referral and Outreach & Family and Community) plays a pivotal role in ensuring the effective delivery of high-quality programs and services within their assigned program portfolio by coordinating the day-to-day operations of those programs, including service delivery, program support, staff development and quality assurance. With a focus on client-centered care and continuous improvement, the Program Coordinator provides support, training, coaching and supervision to staff, and works collaboratively with external partners to meet the needs of program participants and advance the mission of the EORC.
Responsibilities
Program Support and Staff Development:
- Provide direct support, training, and guidance to program staff to ensure effective service delivery and client support.
- Facilitate regular case conferences and team meetings to review client cases, share best practices, and address challenges.
- Identify training needs and opportunities for staff and organize training sessions to enhance their skills.
- Evaluate the performance of individual staff members, provide feedback, conduct performance reviews, and address any performance issues or concerns.
- Participate in the recruitment, hiring, orientation and training of program staff, students, and volunteers within their assigned programs.
- Assist in the development and implementation of program policies.
- Support the Program Manager in the creation and development of program goals and objectives as well as with program evaluation.
- Support the Program Manager in the development and implementation of a framework of measures for quality assurance in all aspects of the programs.
- Ensure forms,
program procedures and position-specific procedures are created and regularly updated.
Client Interaction and Service Delivery:
- Provide service delivery to clients as required (high volume, team members absent due to external meetings, staff illness, etc.).
- Respond to client inquiries, concerns, and emergencies in a timely and compassionate manner.
- Handle client complaints to ensure that all quality measures are being followed and escape to Program Manager as needed.
- Collaborate with community partners, agencies, and stakeholders involved in client care to enhance service delivery and expand resources for program participants.
- Identify community service gaps and service delivery issues and collaborate with the Program Manager to address.
- Facilitate staff engagement in yearly outreach activities and initiatives aimed at promoting our services and advocating for our cause.
Recordkeeping and Compliance:
- Ensure that accurate records and documentation of client interactions, program activities, and outcomes are properly recorded by staff according to regulatory standards.
- Conduct routine audits of client files and program procedures to uphold compliance and quality assurance measures.
- Analyze program outcomes and client feedback to identify areas for improvement and implement corrective actions as needed.
- Prepare statistical data and reports for the Program Manager.
Administrative and Communication Tasks:
- Monitor program budgets, expenses,
and resources with support from Program Manager to ensure efficient utilization and compliance with funding requirements.
- Handle administrative tasks such as scheduling and staff cover off, processing time sheets and leave requests.
- Communicate regularly with program staff, supervisors, and other stakeholders to ensure alignment with program goals and objectives.
- Serve as a liaison between the program team and management, conveying relevant information, concerns, and recommendations.
- Serve as liaison between the volunteer coordinator and teams, for student placements.
- Approve expenditures (below $1000) within established budget
- Provide the Finance Department with the required information for invoicing, prepare cheque requisitions (below $1,000), purchase and ensure the availability of gift cards and bus tickets as required.
Participation in Organizational Initiatives:
- Represent the programs and Centre on various committees, coalitions, and community groups.
- Assist in the promotion of programs and services offered by the organization.
- Actively participate in center-wide activities and committees to promote and sustain the successful operations of the center.
- Perform other duties as assigned by the Program Manager.
What we would like to find in you
- University degree or community college diploma in social work or a related field or equivalent experience.
- Minimum of two years’ experience in social and health services.
- Experience in program development, delivery, and evaluation.
- Fluency in oral and written communication skills in English and French. French language skill is mandatory.
- Solid attention to detail and exceptional organizational skills.
- Must submit and maintain a favourable criminal reference check.
- Highly adaptable: ability to multi-task and work collaboratively in a matrix environment.
