We are seeking a motivated and detail-oriented Project Admin Assistant to join our growing team. This role is responsible for providing administrative and operational support to residential construction projects, assisting with project documentation, procurement coordination, and day-to-day office operations. The successful candidate will work closely with the project team, clients, suppliers, and internal departments to ensure smooth project administration throughout all stages of construction.
Key Responsibilities
Administrative & Project Support
· Provide day-to-day administrative support to the project team, including scheduling meetings, preparing agendas, and taking meeting minutes.
· Maintain and organize project records, contracts, procurement documentation, and client correspondence.
· Assist with budget tracking, invoice processing, and cost reporting.
· Prepare and format project documents, reports, and presentations using Microsoft Office applications.
· Follow up on action items and ensure project documentation is up to date.
Sales & Business Development
· Build and maintain relationships with builders, developers, architects, designers, general contractors, and other industry professionals to promote the company's building products and international sourcing solutions.
· Identify new business opportunities, prepare quotations and proposals, develop long-term client relationships, and attend client meetings, site visits, and industry events as required.
Procurement & Vendor Coordination
· Assist in sourcing building products from local and international suppliers.
· Coordinate with the company's overseas sourcing team regarding quotations, production updates, and logistics.
· Compare supplier pricing, product specifications, certifications, and lead times.
· Track purchase orders and delivery schedules to ensure timely procurement.
Communication & Coordination
· Coordinate communication between clients, contractors, suppliers, and internal teams.
· Respond to client inquiries and provide administrative support for project-related requests.
· Assist with organizing project site visits, networking events, and industry events as required.
· Support company leadership with administrative and operational tasks.
· Perform other duties and special projects as assigned.
Qualifications
· Minimum 1 year of administrative or office support experience.
· Experience in construction, building products, project coordination, or a related field is an asset.
· Familiarity with the British Columbia Building Code (BCBC) and residential construction practices is an asset.
· Valid driver's license and ability to drive is considered an asset.
· Strong organizational skills with attention to detail and accuracy.
· Proficiency in Microsoft Excel, Word, Outlook, PDF software, and other standard office applications.
· Ability to manage multiple priorities in a fast-paced workplace.
· Strong communication and interpersonal skills.
· Self-motivated, reliable, and able to work both independently and as part of a team.
· Experience working with builders, developers, architects, contractors, suppliers, or municipalities is an asset.
· Experience with international procurement or supply chain coordination is an asset.
· Mandarin Chinese is considered an asset.

Pay: $38,000.00-$40,000.00 per year
