Assante West Pender Branch is seeking a dynamic and organized Receptionist /Jr.

Office Administrative

Assistant to be the welcoming face and operational backbone of our office. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining an efficient administrative workplace. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to support our team and visitors alike. This position offers an exciting opportunity to develop your administrative expertise while contributing to a positive workplace atmosphere.

Responsibilities

- Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming environment
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
- Handle front desk duties including scheduling appointments, managing mail, maintain lobby and boardroom cleanliness, etc.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
- Assist Advisors or their Assistant with courier packages, scanning documents, assemble presentation folders, etc.
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook)



and Google Workspace for daily administrative tasks
- Assist with bookkeeping tasks using Sage 300 to support basic financial record-keeping
- Be trained as backup coverage for other roles within the Corporate Team
- Assist with other Receptionist job duties and Ad-Hoc tasks assigned by the Office Manager

Requirements

- Proven minimum 1 year experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, and data entry tools
- Strong customer service skills with the ability to handle inquiries professionally via phone or in person
- Experience with multi-line phone systems, calendar management, and filing systems is preferred
- Knowledge of Sage 300 and basic bookkeeping will be considered as an asset
- Knowledge in Finance or experience working in a wealth management office will be considered as an asset
- Priority will be given to those with bookkeeping/accounting background

This is a Monday to Friday, in-person office position, no option for remote work.

Pay: $27.85 per hour
