Summary:
We are looking for a Safety & Compliance Administrator to join our team and play an significant role in maintaining and supporting our company-wide safety and compliance program.
This position is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities. Preference will be given to candidates with previous experience in a safety or health & safety role, particularly within a logistics, transportation, industrial, or similar environment.
You will work closely with management, our safety team, employees, contractors, and external safety resources to ensure safety documentation, processes, and compliance requirements are kept current and effectively communicated.
Duties and Responsibilities:
- Monitor and maintain compliance requirements through systems such as ComplyWorks and ISNet
- Coordinate with our safety contractor to ensure updates and requirements are completed on time
- Manage daily safety-related emails, communications, reports, and documentation
- Receive and coordinate driver pre- and post-trip inspections and fuel logs
- Maintain safety reports and documentation within designated systems
- Participate in operations, shop, and safety team meetings and communicate relevant safety updates
- Coordinate and attend company-wide safety meetings
- Support the auditing of driver logs for accuracy and compliance
- Distribute safe work permits and ensure applicable safe work procedures are communicated
- Manage safety bulletins and ongoing toolbox tips and communications
- Review, update, and maintain safety policies, procedures, and forms
- Participate in job kickoff meetings and ensure appropriate safety guidelines are discussed
- Coordinate employee onboarding and safety documentation, including Lease Operator and worker orientations
- Manage incident reports and support the implementation of incident management protocols
- Complete the administrative components of site assessments and help maintain ongoing safety compliance
- Maintain Lease Operator WCB and carrier profiles and ensure information remains current
- Complete or coordinate monthly carrier profile reporting
- Coordinate monthly office and shop safety inspections
- Delegate safety-related tasks as required and follow up to ensure completion
- Support the overall organization and continuous improvement of the company's safety system
- Other duties as assigned.
Qualifications and Skills:
- High school diploma or GED; additional education or training in safety management, safety administration, or a related field is preferred.
- Proven experience in administrative roles, preferably in a transportation or regulatory compliance environment.
- Familiarity with regulatory requirements related to the trucking industry, such as the NSC & The Traffic Safety Act
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced setting.
- Excellent attention to detail and accuracy in recordkeeping and documentation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required.
- Strong organizational and time management skills; attention to deadlines with a sense of urgency.
- Ability to provide and receive feedback for growth and continuous improvement.
- Fluent proficiency of the English language with excellent verbal and written communication skills and the ability to interact professionally with diverse stakeholders.
- Ability to work collaboratively as part of a team and independently with minimal supervision.
- Commitment to promoting a culture of safety and compliance throughout the organization.
- Professionalism and discretion in handling confidential information.
- Excellent customer service skills.
Hours of Work Required to do the Job:
- This is a full time, hourly position. The hours of this role may vary with the needs of the business. This role is expected to be available for the operational hours required to be successful.
Physical Requirements:
- This role takes place in an indoor office environment requiring extended use of a computer.
- This role requires sitting for long periods of time.
- This role may be required to participate in meetings and/or training sessions offsite or at customer locations from time to time.
Travel Requirements:
- This role may require occasional day-travel and rare overnight travel to customer sites if required (<5%)
