Service Coordinator – HVAC/R

Full-Time, Permanent | In Person
Salary: $50,000–$62,000 per year, based on experience
RackAir Inc. is seeking an experienced Service Coordinator to join our Kingston operations team.
Reporting directly to the Service Manager, the Service Coordinator plays a key role in keeping our HVAC/R service department organized, responsive, and moving efficiently. This position works closely with our technicians, customers, suppliers, and management team to coordinate day-to-day service operations from initial call through job completion and closeout.
Responsibilities
- Coordinate and schedule daily HVAC/R service calls and preventive-maintenance work.
- Dispatch technicians based on priority, location, skill set, and customer requirements.
- Maintain accurate work orders and job information within BuildOps.
- Communicate with customers regarding scheduling, technician arrival, outstanding work, and job status.
- Review technician time entries, job notes, material usage, and supporting documentation.
- Assist with job closeout and preparation of completed work for billing.
- Coordinate parts, equipment, purchasing requirements, and supplier follow-up.
- Track purchase orders and supporting job documentation.
- Monitor open service calls and ensure incomplete work is followed through to completion.
- Assist with quotation and recommendation follow-up.
- Support the Service Manager with technician scheduling, workload management, and department organization.
- Maintain accurate customer, property, equipment, and service information.
- Identify outstanding administrative issues that could delay billing or job completion.
Qualifications
- Previous experience in HVAC/R, mechanical, or a comparable skilled-trade service environment is required.
- Previous service coordination, dispatch, or operations-support experience.
- Strong understanding of work orders, purchase orders, invoices,
and service-job workflows.
- Comfortable coordinating multiple technicians and competing priorities.
- Strong written and verbal communication skills.
- Highly organized with strong attention to detail.
- Comfortable working in a fast-paced service environment where priorities can change throughout the day.
- Experience with field-service or work-order management software.
- BuildOps experience is considered an asset.
What Success Looks Like A successful Service Coordinator keeps technicians productive, customers informed, and jobs moving from dispatch through completion without administrative delays. You will be successful in this role when:
- Technicians know where they need to be and have the information required to complete their work.
- Service calls are scheduled and prioritized effectively.
- Customers receive timely and professional communication.
- Work orders, technician documentation, time, materials, and purchase orders are complete and accurate.
- Completed jobs move quickly into billing.
- Open work does not sit without follow-up.
- The Service Manager has clear visibility into outstanding calls, scheduling issues, and department priorities.
Compensation & Benefits
- $50,000–$62,000 annual salary, based on experience.
