Job Overview
We are seeking a highly organized, detail-oriented and customer-focused Service Writer / Office Administrator to support our Mildmay branch on an 18-month contract.
This role is an important part of our Service Department and is responsible for coordinating service administration, communicating with customers, processing warranty claims, and supporting the efficient day-to-day operation of the office.
Key Responsibilities
- Open work orders for customer service requests and repair work.
- Close work orders accurately, including warranty adjustments and corrections as required.
- Prepare and issue customer invoices; distribute invoices by email and follow up with customers regarding payment when required.
- Review technician time daily in the business system and make corrections as required.
- Submit warranty claims from start to finish for all applicable brands.
- Process warranty parts returns, including system documentation and shipping requirements.
- Register warranties for applicable brands.
- Create and maintain accurate customer and equipment profiles.
- Facilitate month-end service processes, including reviewing, opening and closing monthly work orders.
- Promote CNH credit cards and Protection Plan Plus (PPP) programs to customers.
- Sell PPP products and ensure appropriate documentation is completed.
- Answer and direct incoming phone calls, take messages and respond to general customer inquiries.
- Maintain accurate vehicle maintenance records.
- Assist with customer communication and follow-up as required.
Qualifications & Skills
- Previous experience in a service administration, service writing, dealership administration or similar role is an asset.
- Solid customer service and communication skills.
- Excellent organizational and time-management skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Comfortable working with computer systems and learning new business software.
- Experience with agricultural, automotive, heavy equipment or dealership environments is an asset.
- Strong problem-solving and follow-up skills.
Pay: $22.00-$25.00 per hour
