Special Education Secretary - Permanent

Location: New Liskeard Board Office

Start date: November 2, 2026

Reporting to the Special Education Lead and the Superintendent of Education, the Special Education Secretary is responsible for the daily operations of the Special Education department by performing a variety of administrative and secretarial duties. The position provides support to the Special Education team, schools, students, and parents/guardians while ensuring accuracy, confidentiality, and integrity of information. The successful candidate will contribute to the efficient and effective operations of the Special Education office and delivery of Special Education services across the Board.

Qualifications

- Post-secondary diploma in Office Administration or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and Google Workspace applications (Docs, Sheets, Forms, Calendar)
- Experience with Aspen (Special Education) considered an asset

Key Responsibilities Duties may include, but are not limited to:

- Answer and direct telephone inquiries; receive and distribute mail and deliveries; prepare correspondence, reports, filing, photocopying, and other general administrative documentation.
- Process Special Equipment Amount (SEA) claims in accordance with recommendations provided by qualified professionals, including psychologists, therapists, and other specialists.
- Source products and equipment through supplier research, quotation requests, price comparisons, and cost-effective purchasing practices. Prepare purchase orders and invoices, coordinate application purchases,



and follow up with suppliers regarding outstanding documentation.
- Coordinate the ordering, receipt, and distribution of SEA equipment and other Special Education resources, including iPads, laptops, peripherals, sound field systems, customized equipment, learning resources, and office supplies.
- Liaise with the Finance Department regarding deliveries, packing slips, invoices, and other documentation
- Maintain accurate and current SEA inventory records and prepare inventory reports and documentation for school records and Ontario Student Records (OSRs)
- Manage records of surplus equipment, facilitate reallocation processes, and liaise with suppliers to ensure equipment remains suitable for reassignment
- Arrange and coordinate the transfer of equipment between schools and school boards as required.
- Collaborate with Information Services (IS) to procure all SEA PPA recommended applications and issue work orders for software installations.
- Prepare Ministry SEA PPE claim-based reports
- Provide administrative support to the Special Education team, including coordinating travel arrangements, accommodations, and transportation when required.
- Demonstrates commitment to DSB1 strategic plan priorities and actions
- Maintain regular and punctual attendance in accordance with Board expectations.
- Perform other related duties as assigned by the Special Education Administrator and/or Superintendent of Education.

Compensation: Salary in accordance with the current COPE collective agreement $27.67 - $32.07 per hour
