Organization Overview The Peterborough 360 Degree Nurse Practitioner-Led Clinic (360 NPLC) is a community-based, interdisciplinary primary health care organization committed to providing equitable, accessible, and person-centred care.
Located in downtown Peterborough, we serve individuals and families who experience barriers to accessing health care, including people experiencing poverty, homelessness, food insecurity, social isolation, mental health challenges, and other social and structural barriers to health. Our approach is grounded in harm reduction, trauma-informed care, cultural humility, anti-oppressive and anti-racist practice, and a commitment to health equity.

About the Position
360 NPLC is developing a new volunteer program to strengthen our ability to engage community members in meaningful, non-clinical roles that support our patients, programs, and organization.
We are seeking an organized, creative, and community-minded Volunteer Program Coordinator to lead the development and initial implementation of this program.
This is an exciting opportunity for someone who enjoys building something from the ground up. The successful candidate will develop the systems and processes required for a safe, sustainable volunteer program while also beginning to recruit, screen, train and support our first volunteers.
Although volunteers will not be involved in clinical care, they will be working within a primary health care environment and may interact with patients who have complex health and social needs. The Volunteer Program Coordinator will therefore play an important role in ensuring that volunteer involvement is secure, respectful, equitable, confidential and consistent with the values and responsibilities of a health care organization.
Key Responsibilities
Volunteer Program Development
- Lead the development and implementation of a comprehensive volunteer program for 360 NPLC.
- Develop a framework for volunteer engagement that reflects the clinic's mission, values, policies and commitment to health equity while meeting operational needs.
- Work with staff to identify appropriate opportunities for volunteers to contribute to the clinic and its programs.
- Develop clear volunteer role descriptions, expectations, boundaries and reporting structures.
- Establish processes for volunteer recruitment, screening, selection, onboarding, supervision, evaluation, recognition and retention.
- Develop tools and systems for maintaining volunteer records, schedules, training requirements and other documentation.
- Identify opportunities to make the volunteer program sustainable beyond the initial contract period.
Recruitment and Volunteer Coordination In Collaboration with the Executive Director and Lead Administrator:
- Develop and implement a volunteer recruitment strategy.
- Conduct volunteer interviews and selection processes.
- Match volunteers with appropriate roles based on skills, interests, availability, and program needs.
- Coordinate volunteer schedules and maintain regular communication with volunteers.
- Provide ongoing support, supervision, and feedback to volunteers.
- Address volunteer concerns, challenges, or performance issues in a timely and respectful manner.
- Support volunteer recognition and retention initiatives.
Orientation and Training
- Develop a comprehensive volunteer onboarding and orientation program.
- Collaborate with internal staff and external partners to develop training resources and modules appropriate for volunteers working within a nonprofit primary health care setting, that can potentially be adapted and shared across other primary care organizations.
Policy, Procedure and Risk Management
- Review existing clinic policies and procedures through a volunteer-program lens.
- Identify gaps and recommend current or revised policies and procedures related to volunteer involvement.
- Work with the Executive Director and/or Lead Administrator to develop volunteer-specific policies, procedures, forms and resources as required.
- Ensure volunteer practices align with applicable legislation, privacy requirements, health and safety expectations and organizational policies.
- Establish appropriate processes for managing confidentiality, boundaries, incidents, complaints, safety concerns and volunteer conduct.
Evaluation and Sustainability
- Establish measurable objectives and indicators for the volunteer program.
- Develop tools to track volunteer recruitment, participation, training, hours and other relevant program data.
- Develop tools to gather feedback from volunteers and staff to evaluate the program.
- Prepare a final report outlining the program developed, activities completed, outcomes achieved and recommendations for ongoing volunteer program implementation.
- Develop resources and recommendations that will allow 360 NPLC to continue the program following the completion of the contract.
Qualifications The ideal candidate will have:
- Post-secondary education in volunteer management, community development, social services, health care, human resources,
public administration or a related field; or an equivalent combination of education and experience.
- Experience coordinating volunteers, programs, projects or community initiatives.
- Knowledge of volunteer management principles and best practices.
- Strong organizational and project-management skills, with the ability to independently manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- Experience developing policies, procedures, training materials or other organizational resources.
- Experience working in health care, social services, community organizations or other settings serving vulnerable or marginalized populations is an asset.
- Experience working from a harm reduction, trauma-informed, anti-oppressive or health equity perspective is an asset.
- Strong interpersonal skills and the ability to build positive relationships with volunteers, staff, community partners and patients.
- Demonstrated ability to exercise sound judgment, maintain professional boundaries and handle confidential information appropriately.
- Proficiency with Microsoft Office/365 and comfort learning new databases or volunteer-management systems.
Required Conditions of Employment Because this position is located within a primary health care organization and volunteers may interact with vulnerable patients and community members, the successful candidate will be required to provide a satisfactory Vulnerable Sector Check prior to commencing employment.
