As our business continues to grow, we are looking for a dependable, organized individual to take ownership of our small internal warehouse and the movement of equipment used by our service and project teams.

This is an excellent opportunity for someone early in their career who is detail-oriented, comfortable with technology, and interested in learning how an IT services organization operates. Training will be provided on our processes and systems.

About the Role

As our Warehouse & Inventory Specialist, you will be responsible for the day-to-day operation of the warehouse, including shipping and receiving, inventory control, hardware tracking, equipment staging, and ensuring technicians have the equipment required to complete service calls and projects.

You will work closely with the Procurement Manager, Project Managers, Technical Support staff, technicians, and other internal teams. Project Managers will provide direction for project-related equipment requirements, while the Technical Support Team will coordinate equipment needs for service calls.

Accuracy and accountability are critical. Equipment, serial numbers, inventory movements, receiving information, technician assignments, and related activities are expected to be tracked in internal systems in accordance with internal processes.

Responsibilities

Shipping & Receiving

- Receive incoming hardware, software-related shipments, parts, supplies, and other equipment.
- Verify received equipment against purchase orders, packing slips, and expected deliveries.
- Inspect shipments for visible damage, shortages, or incorrect items and promptly report discrepancies.
- Prepare, package, label, and coordinate outbound shipments to customers, technicians, project sites, and vendors.
- Maintain accurate shipping and receiving records, including tracking numbers and proof of shipment where applicable.
- Coordinate returns, exchanges, warranty shipments, and RMA equipment as required.

Inventory Control & Warehouse Management

- Maintain an organized, clean, secure, and efficient warehouse environment.
- Track inventory quantities, storage locations, serialized hardware, and equipment status.
- Maintain appropriate separation of customer equipment, Company stock, project equipment, service spares, returns, and equipment awaiting disposition.
- Identify low-stock items, discrepancies, obsolete equipment, and inventory issues and bring them to the attention of the Procurement Manager and General Manager.




- Complete quarterly physical inventory counts and reconcile results against Systems records.
- Support periodic cycle counts or spot checks as required between quarterly counts.

Hardware Tracking & System Updates

- Record all applicable inventory receipts, transfers, allocations, serial numbers, equipment assignments, and other warehouse transactions in ConnectWise.
- Ensure equipment issued to technicians or assigned to projects/service calls is accurately documented before it leaves the warehouse.
- Maintain traceability of customer-owned and company-owned hardware from receipt through deployment, return, replacement, or disposal.
- Keep Internal Systems inventory and hardware records current so internal teams can rely on the system as the source of truth.
- Assist with investigating and correcting inventory discrepancies.

Technician, Service & Project Support

- Prepare and stage equipment required for scheduled projects based on direction from Project Managers.
- Prepare and issue equipment required for service calls based on direction from the Technical Support.
- Ensure technicians receive the correct hardware, parts, accessories, and supporting items before leaving for customer sites.
- Maintain commonly used service spares, replacement equipment, cables, adapters, and consumable items in an organized and accessible manner.
- Coordinate returned equipment from technicians and ensure it is checked back into inventory, routed for repair/RMA, or returned to the appropriate customer/project stock.

Procurement Coordination

- Work closely with the Procurement Manager on equipment orders, expected deliveries, shortages, backorders, and receiving priorities.
- Confirm receipt of ordered equipment and provide accurate receiving information for purchasing and project teams.
- Flag damaged, incorrect, duplicate, or missing equipment quickly so vendor issues can be resolved.
- Assist with maintaining appropriate stocking levels for commonly used equipment and supplies.

Required

- Strong attention to detail and a commitment to accurate record keeping.
- Highly organized, dependable, and comfortable managing multiple priorities.
- Comfortable using computers and learning business software; ConnectWise experience is an asset but not required.
- Positive written and verbal communication skills.




- Ability to follow established procedures while also identifying opportunities to improve warehouse organization and workflow.
- Ability to work independently and coordinate effectively with Project Management, Technical Support, Procurement, Contracts, Finance, etc.
- Ability to safely lift, carry, move, and organize typical IT equipment, shipping cartons, computers, network equipment, and related hardware; team lifting or appropriate equipment should be used for heavier items.
- Punctual and able to work the standard on-site schedule of 8:30 a.m. to 5:00 p.m., Monday through Friday.

Experience & Education
- Previous warehouse, inventory, shipping/receiving, retail stockroom, logistics, or similar experience is considered an asset, but is not required for the right candidate.
- High school diploma or equivalent preferred.
- Interest in technology, IT hardware, logistics, inventory management, or operations is an asset.
- Willingness to learn new processes, ConnectWise, basic IT hardware identification, and equipment handling procedures.

Success in This Role The successful candidate will take ownership of the warehouse and develop a reputation internally for accuracy, organization, responsiveness, and reliability. Technicians should be able to arrive for a service call or project and find the correct equipment prepared and documented, while Procurement, Project Management, Techncial Support, and management can rely on ConnectWise to show where equipment is and what has been received, issued, returned, or allocated. Over time, the role can grow in responsibility as the employee develops stronger knowledge of IT hardware, purchasing, inventory management, ConnectWise, project logistics, and Company operating procedures.
