OneSky is a great place to work!Job SummaryThe Medical Office Assistant (MOA) provides administrative and clerical support to Family Physicians, Nurse Practitioners, and patients at the Martin Street Outreach Clinic and Urgent & Primary Care Centre. This role ensures smooth clinic operations and a welcoming environment for all.Reporting RelationshipsThis position reports to the MOA Coordinator at OneSky Community Resources. Daily work is directed by Interior Health's Clinic Manager and the Martin Street Outreach Clinic's Provider Collective.Clinic OverviewMartin Street Outreach ClinicThis clinic provides long-term, relationship-based primary care to individuals with complex health needs, including mental health challenges, substance use, and social vulnerabilities. Services are delivered by a collaborative team of physicians, nurse practitioners, nurses, social workers, and allied health professionals. The clinic operates as anOAT (Opioid Agonist Treatment) Clinic, offering supervised medication such as methadone or suboxone to support individuals with opioid use disorders.Additional services include:Mental health and substance use supportChronic disease managementPreventive care and health educationCoordination with community resources and social servicesTrauma-informed care and harm reduction approachesThe clinic is operated in partnership with Interior Health and works closely with community agencies such as Pathways Addictions Resource Centre, South Okanagan Women in Need Society (SOWINS),



and other local service providers to ensure wraparound support for patients.Urgent & Primary Care CentreOperating during evenings and weekends, this centre provides same-day access to care for non-life-threatening health concerns. It serves individuals, families, and seniors who may not have a regular primary care provider or need timely medical attention.Services include:Assessment and treatment of minor injuries and illnessesPrescription renewals and medication managementReferrals to specialists and diagnostic servicesHealth Connect Registry support to help patients find long-term care providersKey ResponsibilitiesAdministrative & Clerical SupportMaintain efficient clinic operations through scheduling, document preparation, and provider supportFacilitate telephone conferencing and meetings as directed by the Clinic Manager and ProvidersCollect and manage incoming forms and information requests for Providers, ensuring timely completionChart necessary documents into the correct patient chart using Med AccessPrepare and send requisitions, referrals, and medical documentationSubmit billing through Teleplan/MSP and manage third‐party billings (e.G., WCB, ICBC, RCMP, DVA); communicate daily billing documentation to the Billing ClerkMaintain patient records and filing systemsManage incoming and outgoing phone calls, emails, and faxes, relay messages promptlyReceive and record patient payments, issue receiptsParticipate in data collection, evaluation, and quality assurance activitiesPatient InteractionGreet and check in patients, update records and escort to exam roomsMonitor patient waiting areas and washrooms; provide assistance or redirect concerns to the Clinic Manager or delegateBook follow-up appointments and specialist referralsSupport intake and referral processes for long-term primary care,



including coordinating with a Social WorkerManage the Patient Recall list for repeat appointments and proceduresCommunicate test results and appointment details to patients as directedClinical Support & Other DutiesPrep exam rooms and supplies for procedures, including physical exams, PAP smears, and minor proceduresAssist with minor procedures and chaperoning as neededLabel and send specimens (e.G., Pap smear slides, swabs) to labs for analysisRecord patient measurements (e.G., height, weight, abdominal/head circumference, visual acuity) and chart documentation in EMREnsure health and safety standards are followedRespond to emergency situations appropriatelyPerform minor cleaning and tidying tasksCarry out other duties as assignedQualificationsMedical Office Assistant Certificate/Diploma, or equivalent education and experience in an administrative or clinical settingExperience supporting vulnerable populations, including individuals with mental health, substance use, or socio-economic challengesTraining in trauma-informed practice is an assetStrong customer service, interpersonal, and communication skillsExcellent time management, multitasking, and organizational abilitiesProficient in English (written and verbal)Computer literacy, including Microsoft Word and ExcelEMR experience with Med Access and/or MeditechAbility to manage confidential and sensitive information with discretionComfortable working in interdisciplinary, team-based care environmentsKnowledge of medical terminology and community medical resourcesAbility to remain calm and effective under pressureEmpathetic communicator, adaptable to diverse client needsWhy Work at OneSky?At OneSky Community Resources, we believe in the strength of community, the importance of connection, and the dignity of every individual.
