You'll be joining an established team with real roots in this neighbourhood, not a start‐up still figuring things out.What You'll Actually Be DoingDay to day, you'll supervise our administrative team, lead weekly team meetings, and help onboard and train new front desk staff — all while making sure patients feel taken care of from the moment they walk in. You'll manage bookings, handle cancellations, and step in when a patient complaint or a scheduling conflict needs a level head. On the back office side, you'll get exposure to accounts receivable, monthly reporting for our bookkeeper, and inventory management, so you're learning the full picture of how a clinic runs, not just one corner of it.This role is designed with a growth path in mind: as you learn the ropes, you'll get mentorship from our Operations Manager and exposure to both the clinical and business sides of running a practice,
so you're ready to lead when the Office Manager or Patient Experience Manager opportunity comes up.Compensation:$60,000–$70,000 CAD per yearQualifications:Minimum 2 years clinical administrator experienceProven experience as an office manager or in a similar administrative roleStrong attention to detail and accuracyEffective communication skills, both verbal and writtenAbility to multitask and prioritize tasks in a rapid-paced clinic environmentKnowledge of payroll processes and experience with payroll softwareExcellent organizational and time management skillsKnowledge of QuickBooks or other accounting software is a plusFamiliarity with TELUS portal and MVA billing is a plusResponsibilities:Front Office:Supervise administrative team members and ensure everyone follows office protocols and policiesMaintain a positive attitude that promotes teamwork and motivates the team to achieve their goalsLead weekly administrative team meetings that keep the team engaged, informed, and appreciatedOnboard, train, supervise, and evaluate administrative staffReach production goals through effective booking and by engaging the team toward shared targetsMake a positive and lasting impression on patients from arrival to departureProvide customer service that exceeds expectationsBook appointments, manage potential cancellations,
