OBJECTIVE: To provide administrative, financial, and clerical support to the nursing home.
POSITION SUMMARY:
Reporting to the Administrator/Director of Operations, the Accounting Clerk provides full-cycle accounting – including payroll - as well as administrative and scheduling support for the nursing home, assisted living complex, seniors’ apartment complex, and Nursing Home Without Walls (NHWW) program.
The Accounting Clerk is the first point of contact for residents, families, staff, visitors, and community partners and ensures the efficient operations of the administrative office by managing financial records, payroll, resident admissions, office communications, scheduling support, and general administrative functions.
KEY RESPONSIBILITIES:
· Perform full cycle accounting functions including but not limited to:
o Process accounts payable and receivables – maintain vendor files and communicate with suppliers, clients and residents o Prepare invoices and receipts o Prepare and process monthly rent and invoices – receive, record and reconcile payments o Reconcile bank accounts, deposits, receivables, payables and petty cash o Process purchase orders and monitor expenditures o GST/HST reconciliations and remittances o Reconcile intercompany receivables/payables
· Complete bi-weekly payroll including reconciliation and payment of payroll remittances and pensions payable as well as payroll accruals.
· Maintain trust accounts including deposits, withdrawals, reconciliations and monthly statements
· Maintain financial records for the Nursing Home Without Walls (NHWW) program
· Assist with monthly financial reporting
· Provincial grant reporting
· Greet residents, families, visitors, volunteers, contractors and community partners in a professional and welcoming manner
· Answer and direct telephone calls and emails
· Provide information regarding facility programs and services
· Receive and distribute mail and courier services
· Maintain confidentiality in accordance with privacy legislation and organizational policies
· Prepare correspondence, reports, meeting agendas, minutes, newsletters, forms and presentations
· Maintain filing systems (electronic and paper)
· Assist with Financials for admissions, transfers, and discharge
· Maintain employee and resident records
· Assist with ordering and maintaining office supplies
· Maintain accurate resident, employee, financial and program records
· Ensure compliance with privacy legislation and record retention policies
· Archive and retrieve records as required
QUALIFICATIONS:
· Diploma in Accounting and Payroll Administration or equivalent education and experience
· Experience within an accounting/administrative role in health care or long-term care
· Familiarity and use of accounting and payroll software (Sage considered an asset)
· Knowledge of fund accounting/intercompany accounting considered an asset
· Experience using employee scheduling software
· Excellent organization and time-management skills
· Strong knowledge of Microsoft Office
· Strong verbal and written communication
· Exceptional customer service
· Ability to maintain strict confidentiality
· Strong attention to detail and accuracy
WORKING CONDITIONS:
· Office environment within a healthcare setting
· Frequent interaction with residents, families, staff, and public
· Prolonged sitting with regular computer use
· Occasional lifting of office supplies (up to 20 lbs)
NOTE: These duties are only the basic and prime duties of the job; related and allied duties will be assigned from time to time as may become necessary to the operation of the Home.
Pay: $27.85-$29.61 per hour
Expected hours: 37.5 per week
