Job Description Vortex Stratgie & recrutement is actively seeking a Real Estate Legal Assistant for its client, a national law firm recognized as one of Canadas leading firms.
You will contribute to the management of real estate law professionals practices by providing administrative and secretarial support, enabling legal professionals to deliver the highest level of service to their clients.
Your Role and Responsibilities Proofread and format documents (letters, memoranda, file notes, opinions, legal proceedings, etc.); Transcribe documents from handwritten notes and/or telephone messages; Compare documents using Litera Compare; Update client lists; Photocopy documents and coordinate various printing and document scanning requests; Communicate directly with other legal professionals in the absence of the lawyers you support; Prepare materials when a legal professional is presenting at a conference (Power
Point); Open new files; Follow up on internal and external calls as required; Initiate conference calls; Manage legal professionals calendars; Manage emails; Search, enter and update data in One
Place; Arrange travel, car rentals, hotels and restaurant reservations; Book conference rooms for meetings, videoconferences and client meetings; Order meals,
beverages and other items; Prepare conflict search requests and forward them to the appropriate individuals; Monitor time entries daily and enter or revise them in the system; Review and validate time entries on a weekly and monthly basis; Prepare monthly billing; Prepare expense reports, obtain approval when required and follow up accordingly; Prepare cheque requests or bank transfers from trust accounts; Assist other legal professionals and assistants within the department, or other departments, as required; Assist students and articling students as required; Administer oaths to lawyers and clients.
Requirements Minimum of 5 years of experience as a legal assistant in real estate law or business law; Ability to manage multiple high-priority files simultaneously while meeting deadlines; Bilingualism required, French and English, both spoken and written; Excellent ability to manage priorities and strong organizational skills; Exemplary team spirit; Ability to work with individuals at all levels of a large organization; Ability to work effectively in a fast-paced and agile environment; Strong analytical and problem-solving skills.
