About the Role:
We are seeking a highly organized and detail-oriented Construction Administrator to join our team. This full-time contract (12 Months with room for extension) role supports construction project operations by supporting with bookkeping, managing documentation, coordinating communication, and ensuring smooth administrative processes. The ideal candidate is proactive, adaptable, and able to work both independently and as part of a team.
Hours of work: 8:00AM to 4:30PM Monday to Friday

Key Responsibilities:
- Accounting & Bookkeeping
- Work with the accounting team to process invoices and project costing.
- Assist with payroll and monthly bookkeeping tasks
- Track scheduling, project costing, and progress across multiple projects
- Organize invoices and support the accounting team
- Knowledge of the Sage50 accounting software is a plus
- Detail oriented and comfortable working between multiple excel sheets is a must.
- Health & Safety
- Prepare the construction of job site safety boards with our H&S; manager
- Help build our COR2020 safety program
- Assist with health and safety programs and procedures
- Support compliance with regulations and internal safety procedures
- Audit and maintain worker qualifications with our H&S; manager
- General administrative support
- Provide administrative support to project managers and site supervisors as needed
- Manage and organize project documentation, permits, and reporting to project managers
- Sending out staffing and scheduling emails
- Maintain accurate records and filing systems
- Prepare and download tender documentation along with closeout documentation
- Work with project managers and estimators on searching tender websites along with safety / compliance platforms.
Qualifications:
- A university degree is required; education in construction management, engineering, architecture, or a related field is a plus
- Bilingual in English and French is preferred
- Solid office and administrative skills
- Proficient in Microsoft Office (Word, Excel, Outlook, etc.)
- Comfortable working independently and within a collaborative team environment
- Knowledge of the construction industry is an asset
- Previous experience with health and safety procedures is a plus
- Must be able to obtain and maintain a security clearance
- References will be requested as part of the hiring process
Bilingual in English and French is preferred.
Must be able to commute to our office located at 2000 Thurston Dr. (Suite 25), Ottawa ON, K1G4K7.
Core competency in english (Written/Spoken) is required.
Comfortable with Microsoft suite
Familiarity with bookkeeping / accounting practices is a plus.
