Job Overview
Do you have admin experience in construction? Our client is seeking an organized, detail-oriented Project Administrator to serve as the administrative backbone for active construction site teams. Reporting directly to the Director of Project Cost Control, you will manage end-to-end document control, procurement logging, subcontractor coordination, time entry audits, daily Labour, Equipment, and Material (LEM) tracking, and project billing support.
Client Overview
Our client is an established Canadian industrial services and construction firm headquartered in Sunnyside, Manitoba, with operational hubs across Western Canada (including Alberta and Saskatchewan). Specializing in commercial and industrial construction, maintenance, and site services, they deliver high-precision projects for complex infrastructure clients.
Schedule
Monday - Friday, 8:00 AM - 4:30 PM CT (Central Time), with 30 minutes unpaid break (40 work hours per week)
Responsibilities
- Setup and manage digital project files, contact directories, and drawing logs within SharePoint and construction project software (CMiC)
- Manage submittals, transmittals, Requests for Information (RFIs), and Potential Change Items (PCIs) alongside Construction Managers and Cost Controllers
- Draft Letters of Intent, subcontracts, and change orders for Project Team review and process approved documents in project software
- Record, prepare, and distribute accurate project meeting minutes and maintain structured project archives
- Issue vendor Purchase Orders (POs), track procurement logs, and collaborate with Accounts Payable to resolve invoice discrepancies and open commitments
- Process daily field time entry (hours, expenses, internal equipment) and audit time & material (T&M;) logs for payroll and billing accuracy
- Prepare daily LEMs for T&M; jobs, manage client submittals,
and audit LEM logs for monthly project billings in coordination with Accounts Receivable
- Update T&M; billing rates, assist with job closure procedures, and perform general administrative support across active projects
Requirements
- 2+ years of experience in project administration, document control, or job costing within the construction or industrial services sectors
- Hands-on experience managing RFIs, PCIs, submittals, purchase orders, subcontracts, and daily LEMs
- Advanced Microsoft Excel capabilities, fast/accurate data entry (40+ WPM minimum), and working familiarity with SharePoint
- Strong mathematical aptitude for auditing T&M; rate sheets, time entries, equipment logs, and billing statements
Qualifications
- CMiC experience is a major asset (or similar ERPs such as Procore, Jonas, Viewpoint)
- Experience with Microsoft 363 (Word, Teams) and integrated CMiC AP/AR modules / Time Entry Platforms
