Position Vacancy: Waterloo Wellington Regional Cancer Program
Position: Temporary Full Time Regional Coordinator, Oncology, Until Approximately December 31, 2027
Posting Period: September 28 - October 5
Hours of Work: M-F, 8 Hours, Occasional Flexibility
Location: WRHN @ Midtown (formerly Grand River Hospital, KW Campus)
Position Summary :
Reporting to the Clinical and Business Manager, Regional Oncology, the Regional Coordinator will work collaboratively with the Regional Cancer Clinical Leads, Regional Cancer program leadership and Patient Family Advisors (PFAs) to identify regional needs, create work plans, and implement projects and initiatives in accordance with funding deliverables, and both the Ontario Cancer Plan and the Waterloo Wellington Regional Cancer Plan. They will work to support and deliver quality person-centred care in Waterloo Wellington through the promotion of services provided through the Regional Cancer Program such as patient education, patient experience and engagement, symptom management and psychosocial oncology. Developing strong relationships, especially with all regional partners is critical. They will actively monitor regional cancer performance data and flag changes in performance, missing data etc. to regional manager for action. They will facilitate the completion of OH-CCO reports (i.e., quarterly performance, year-end) action plans, proposals, and other documentation as required. They will collaborate with multiple stakeholders, internal and external, to ensure priorities and metrics are successfully achieved.
Key Accountabilities & Responsibilities
- Coordinates with the Regional Cancer Clinical Leads, the Regional Cancer Program and PFAs to identify regional needs, create work plans, and implement projects and initiatives.
- Leads the planning and delivery of OH-CCO prevention and screening campaigns, patient education materials.
- Ensures that all organized initiatives align with appropriate Regional Cancer Clinical Leads’ work plans, Ontario Health’s Funding Agreement and deliverables, the Ontario Cancer Plan and the Regional Cancer Plan.
- Utilizes sound project delivery practices by identifying challenges and leading and coordinating initiatives and activities to ensure timely completion.
- Communicates and updates program manager regularly of program initiatives.
- Collaborates with regional clinical leads to implement activities based on identified regional gaps and needs.
- Works collaboratively with regional clinical leads to ensure role responsibilities (work-plans, expenses, template completion, year-end reports, surveys, workload tools etc.)
are completed within prescribed timeframes.
- Leads the day-to-day operational and tactical aspects of regional initiatives.
- Monitors cancer performance data and flags change in performance, missing data etc. to regional manager.
- Collaborates with the regional manager to assist other initiatives when necessary. For example, if data analysis is needed, manages the required data resources function for the activities while maintain their direct reporting relationship to their current manager.
- Attends and participates in meetings. Prepares all support materials and agendas as necessary.
- Liaise with key stakeholders within and external to the organization to ensure consistent messaging when developing and implementing regional cancer program initiatives.
- Initiates and maintains ongoing communication with colleagues/stakeholders to share information.
- Facilitates regional communication between PFAs, regional team, senior leadership and internal and external stakeholders.
- Leads the development, production, communication and maintenance of regional projects by using multiple methods, including written materials, social media and presentations.
- Work with the appropriate stakeholders/teams to ensure that content updates for the Regional Cancer Program microsite are current with relevant information for our target audiences and update when necessary.
- Leads the development of internal / external communication materials that support the Regional Cancer Program initiatives with a focus on data.
- Coordinates with the Regional Cancer Clinical Leads and the Regional Cancer Program to create work plans each fiscal year ensuring alignment with the ICP funding agreement deliverables and identified regional gaps/challenges
- Monitors OH-CCO targets, review data quality and notifies manager to correct variances as required.
- Works collaboratively with regional partners, RCP manager and regional cancer clinical lads on completion of OH-CCO reports (i.e., quarterly performance, year-end) action plans, proposals, and other documentation as required.
- Establishes and cultivates relationships with internal and external stakeholders at all levels in order to establish the conditions to create effective engagement throughout the region.
- Continually works to enhance collaborative community relationships as they relate to project delivery.
- Partners with key internal and external stakeholders to plan and/or develop regional events, activities and projects.
- Continually seeks and capitalizes upon opportunities to increase regional partner satisfaction and deepen relationships.
- Interacts with internal and external regional partners and OH-CCO to further partnerships and achieve the Regional Cancer Plan.
- Foster relationships with PFAs, indigenous and minority groups, to support equity and inclusion goals.
Position Requirements:
- Undergraduate degree in a health related discipline required.
- 2-4 years recent experience in a hospital, OH-CCO, health care setting or in public health / public health promotion required.
- Project management course or certification, quality improvement and data management in the health care setting preferred.
- Experience in data processing and reporting preferred. Strong computer knowledge and skills (e.g. Excel, Access, Word, PowerPoint, Visio, Publisher, WebEx, and MS Project an asset).
- Experience with research and/or literature an asset.
- Knowledge of the cancer system an asset.
- Well-developed interpersonal, written, and oral communication skills. Experience with oral and written presentations is required.
- Strong analytical and problem solving ability with a broad-based outlook/perspective in health care.
- Ability to multitask, take initiative and work both independently and in a team workplace.
- Demonstrated priority management skills with respect to deadlines.
- Good attendance record.
