We are seeking an energetic, personable, and knowledgeable Client Experience & Customer Care Representative to join our growing medical aesthetics and wellness team.

The ideal candidate has a minimum of 1 year of experience working in a medical spa, aesthetic clinic, dermatology clinic, or similar environment and understands the client journey from consultation and treatment selection through follow-up and ongoing care.

This is a client-facing role for someone who is confident discussing aesthetic services, passionate about skin health and wellness, and able to create a warm, professional experience for every client.

Job Summary

As the first point of contact for our clients, you will be responsible for delivering an exceptional customer experience while providing knowledgeable support regarding our medical aesthetic and wellness services.

You will communicate with clients by phone, email, text, and in person, assist with bookings and inquiries, educate clients on appropriate services and products, and identify opportunities to recommend additional treatments or medical skincare products based on their individual needs.

The successful candidate will be comfortable discussing medical-grade skincare, laser treatments, resurfacing procedures, and injectable services and will have a genuine interest in the medical aesthetics industry.

Key Responsibilities

- Serve as the first point of contact for clients by phone, email, text, and in person
- Provide a warm, professional, and personalized client experience from initial inquiry through post-treatment follow-up
- Schedule and manage client appointments, consultations, treatments, and follow-ups
- Answer questions and provide accurate information regarding our aesthetic and wellness services
- Have a strong working knowledge of medical-grade skincare brands and professional skincare products
- Be familiar with laser treatments, IPL, resurfacing treatments, and other aesthetic technologies




- Have a strong understanding of injectable services, including common treatment areas and the general purpose of various treatments
- Help clients determine which services may be appropriate for their concerns while staying within the scope of the role
- Educate clients on treatment expectations, preparation, aftercare, and recommended follow-up when appropriate
- Recommend professional skincare products and complementary treatments based on client needs
- Identify opportunities for appropriate upselling and cross-selling of services, memberships, and skincare
- Follow up with leads and existing clients to encourage bookings and treatment plans
- Maintain accurate client records and appointment information within our booking and EMR systems
- Process payments, deposits, and transactions accurately
- Assist with cancellations, rescheduling, and client concerns in a professional and solution-focused manner
- Maintain a clean, organized, and welcoming reception and client environment
- Support the clinical and aesthetic team with administrative and client-care tasks as needed
- Maintain client confidentiality and follow all clinic policies and procedures
- Contribute to a positive, skilled, and team-oriented workplace culture

Required Qualifications & Experience

- Minimum 1 year of experience working in a medical spa, aesthetic clinic, dermatology clinic, or similar environment
- Strong knowledge of medical-grade skincare brands and products
- Familiarity with laser and IPL treatments
- Familiarity with skin resurfacing and rejuvenation treatments
- Familiarity with injectable aesthetic services, including neuromodulators and dermal fillers




- Strong understanding of the medical aesthetics client journey
- Excellent verbal and written communication skills
- Professional and confident phone etiquette
- Strong organizational skills and attention to detail
- Comfortable working in a fast-paced, client-focused environment
- Ability to multitask while maintaining a high level of accuracy and professionalism
- Strong computer skills and the ability to learn booking, EMR, CRM, and payment systems
- Previous experience with a medical spa booking system or EMR is an asset
- Sales and retail experience within the aesthetics or skincare industry is an asset

Pay: From $17.00 per hour
