Summary
We are seeking an organized, proactive professional to join Our Client, a growing multi-family office serving families’ investment and wealth management needs, in a role combining administration and business development. You will keep daily operations organized, coordinate client communications, and help develop new client relationships through prospect research, direct outreach, and consistent follow-up. Both areas are integral to the role, with an approximately even balance that may vary with business priorities. Working closely with the CEO, you will take initiative in identifying opportunities and bringing prospective clients into introductory conversations.

Responsibilities

- Coordinate the CEO’s calendar, meetings, travel arrangements, document preparation, and confidential records.
- Maintain accurate physical and digital files, organize client documentation, and follow established confidentiality and record-management procedures.
- Proactively identify and research prospective clients and referral partners through LinkedIn, professional networks, and other relevant channels.
- Initiate contact with prospective clients by email, LinkedIn, and phone, including cold outreach; introduce the office’s services using agreed messaging and follow up to arrange introductory meetings.
- Build and maintain relationships with prospective clients and professional contacts, identify initial needs and interest,



and coordinate next steps with the CEO.
- Prepare and proofread presentations, reports, meeting materials, and correspondence for the CEO’s review.
- Handle routine external inquiries professionally and discreetly, and route substantive financial or investment questions to the CEO.
- Maintain accurate contact and pipeline records, track outreach responses and next steps, and keep the CEO informed of opportunities and follow-up priorities.

Qualifications

- Bachelor’s degree in Finance, Business Administration, Marketing, or a related field.
- At least two years of administrative support experience, with evidence of reliable scheduling, document preparation, and follow-through.
- Strong written and verbal English for skilled correspondence, calls, and client coordination. Mandarin is an asset, not a requirement.
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced setting.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and professional networking platforms such as LinkedIn.
- Strong interpersonal skills and confidence initiating conversations with new contacts, conducting outreach calls, and following up professionally.




- Proactive, self-motivated, and able to independently research prospects, initiate outreach, and manage administrative priorities with sound judgment.
- Interest in financial services, wealth management, or family office operations. Relevant industry experience and prior client outreach or sales support are assets.
- Sound judgment, discretion, and integrity when handling confidential information. CRM experience is an asset, with willingness to learn the office’s tools and processes.Compensation, Benefits & Work Location
- Base salary commensurate with relevant experience, plus a deal-linked bonus.
- Work directly with the CEO and gain practical exposure to family office administration, client coordination, and business development support.
- Develop administrative, client relationship, and business development skills through hands-on responsibility in a small, entrepreneurial team.
- Work arrangement: hybrid, with 3 days per week at the company’s office in an office building in North York, Toronto. - The number of in-office days and schedule may change based on business needs.
