SUMMARY
The Office Administrator provides support to the sales coordinators with sales department in processing vehicle sales. The role involves maintaining strong relationships with managers, and sales employee’s ensuring effective communication.
DUTIES AND RESPONSIBILITIES
Accounts Receivable/Payables data entries.
Enter new and used trucks into the company’s current database system.
Build, maintain, and control new and used truck sales files for every truck deal.
Review invoices, process title paperwork, and handle billing documentation.
Assist with tracking commissions and deal postings, ensuring accurate information is communicated with branch-level truck sales personnel.
Receive and maintain all manufacturer documents and manage the entire truck sales process from start to finish.
Manage keys for new, used, and traded trucks.
Upload digital documents into relevant databases and print/distribute truck information from the dealer portal.
Create and issue all purchase orders for truck-related jobs.
Track and report floor plan interest expenses accumulated monthly.
Receive truck payments and down payments and deposit cheques as needed.
Track truck transfers between branch locations, body builders, and service depots.
Maintain confidentially of all financial data.
Ensure work continues by documenting and communicating necessary actions to management, identifying regulations and addressing ongoing needs.
Complete NVIS cards and notarize when required, including traveling to the local MTO office for registrations.
Occasional travel between branches and for registrations will be required.
Coordinate and manage necessary sales training for all personnel in collaboration with Human Resources.
Assist with miscellaneous tasks for the truck sales department as needed.
Covered the reception desk during lunch breaks and when the receptionist is away.
Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, participating in professional organizations.
QUALIFICATION REQUIREMENTS
The requirements listed below are representative of the knowledge, skill, and or ability required to successfully perform the job.
Education and/or Experience
· 3-4 years office experience. Dealer experience an asset. Strong computer experience in Excel, Word and Windows based software.
Language Skills
· High standard of fluency in English for both oral and written correspondence. Ability to effectively present information in one on one and small group situations to other employees of the organization.
Mathematical Skills
· Ability to apply complex mathematical skills.
Reasoning Ability
· Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Cognitive and Functioning skill
· Strong attention to detail
· Strong organizational skills
· Ability to Multitask

Schedule
· This is a fulltime position.
