The Opportunity
We are looking for a professional, organized and creative Communications Coordinator to join the Winnipeg commercial real estate brokerage team.
This is a unique hybrid role combining front-office client service, administrative support and hands-on marketing and design support. As the first point of contact for clients, agents and visitors, you will help create a professional and welcoming office experience while providing responsive day-to-day support to the brokerage team.
A significant part of the role also involves producing marketing materials for commercial properties and the agents. You may be creating or updating a property brochure, preparing a presentation, producing social media content, editing photography or helping get marketing materials out the door quickly for an agent.
We are looking for someone who can move comfortably between these different responsibilities, understands that priorities can change quickly, and takes pride in producing polished, accurate work on deadline.
What You’ll Do
Client Service & Office Support
- Serve as the first point of contact for clients, visitors and callers, providing a skilled, welcoming and responsive experience.
- Greet visitors,
announce their arrival and direct them to the appropriate team member or meeting space.
- Answer, screen and direct incoming calls and provide information or take messages as required.
- Coordinate meeting rooms, virtual meetings, training rooms, meals and refreshments.
- Book and receive couriers and process incoming and outgoing mail.
- Order office supplies and maintain inventory.
- Maintain databases, files and other office records.
- Prepare, modify and format documents, forms, correspondence and presentations.
- Assist with general administrative and accounting duties as needed.
- Help keep shared office, meeting and kitchen areas professional, organized and client-ready.
- Look for opportunities to improve office procedures and make things work more efficiently.
Marketing, Graphic Design & Agent Support
- Create and update property brochures, feature sheets, flyers, presentations, signage, email campaigns and other marketing collateral.
- Respond to time-sensitive marketing requests from agents and the Marketing Manager, taking projects from initial request through design, revisions and final production.
- Prepare high-quality marketing materials for commercial property listings, client proposals and business development initiatives.
- Develop and maintain templates and reusable design assets to support efficient turnaround of recurring marketing needs.
- Work within established corporate brand standards while bringing fresh, contemporary design ideas to projects.
- Prepare materials for both digital distribution and professional print production.
- Maintain organized project files, photography, templates, brand assets and digital libraries.
Social Media & Digital Content
- Create engaging social media graphics and digital content that highlight property listings, company news, industry insights and client successes.
- Edit and optimize photography, graphics and short-form video for social media, web, print and other digital marketing channels, including basic photo retouching and image cleanup.
- Maintain consistent branding, messaging and visual style across digital content while staying current with social media trends and emerging content formats.
- Support commercial property marketing, including preparing property graphics, floor plans and other visual assets for listings.
- Assist with Matterport 3D virtual tours, including on-site scanning of commercial properties and preparation of related property assets.
- Photography skills are considered an asset.
What You Bring
- Minimum 2 years of experience in a busy marketing, graphic design, administrative, sales, customer service, hospitality or similarly fast-paced environment.
- High school diploma required. Post-secondary education in marketing, graphic design, communications, business administration or a related field would be an asset.
- Working knowledge of Adobe, particularly Photoshop, Illustrator, InDesign and Acrobat.
- Experience creating professional brochures, presentations, digital graphics or other marketing collateral.
- Strong understanding of typography, layout, colour, composition and visual hierarchy.
- Experience with social media platforms and creating content for digital channels.
- Comfortable using ChatGPT and other AI-assisted tools to support brainstorming, content development and creative workflows, with a willingness to learn and adopt emerging technologies that improve efficiency and quality.
- Strong verbal and written communication skills with exceptional attention to accuracy and detail
- Excellent interpersonal and customer service skills.
- Strong organizational and time-management skills with the ability to manage multiple projects, priorities and deadlines.
- Ability to take creative direction, incorporate feedback and turn around revisions efficiently.
- Self-motivated and able to work independently while collaborating effectively with marketing, brokerage and administrative team members.
- Proactive and willing to take initiative rather than waiting to be told what needs to happen next.
- Able to adapt when priorities shift or an urgent request lands on your desk.
- Discretion when handling confidential personnel, client and industry-related information.
- A willingness to learn, develop new skills and take on increasingly complex projects.
- Real estate experience or an interest in commercial real estate, architecture and property marketing is considered an asset.
- This is a full-time, in-office position in the Winnipeg office.
