We are looking for a Clinic Concierge & Marketing Support team member to join our growing team: someone who is personable, organized, creative, and excited to contribute to both patient experience and brand presence.

Position Overview

This is a hands-on, client-facing role that combines front desk concierge responsibilities with marketing and creative support. You will be the welcoming face of the clinic while assisting with social media content, promotions, and community engagement. This position include working evenings and possibly weekends.

Key Responsibilities

Clinic Concierge & Front Desk Support

- Greet patients warmly and create a positive, welcoming first impression
- Manage front desk operations, including:
- Booking, confirming, and rescheduling appointments
- Patient check-in and check-out
- Answering phone calls, emails, and general inquiries
- Support smooth daily clinic flow by coordinating with providers and team members
- Maintain a clean, organized, and inviting reception and retail area
- Assist patients with skincare product recommendations and retail purchases

Patient Experience & Customer Care





- Deliver exceptional, personalized customer service at every touchpoint
- Address patient questions or concerns with professionalism, warmth, and discretion
- Support follow-up communication and patient retention initiatives
- Help ensure a consistent, high-quality experience aligned with clinic values

Marketing & Creative Support

Assist with clinic marketing and brand initiatives, including:

- Social media content creation and support (Instagram stories, posts, short videos)
- Capturing in-clinic content (before/after photos, team moments, events)
- Creating simple graphics or promotional materials (Canva)
- Support in-clinic promotions, launches, and patient events
- Help maintain brand consistency across all patient-facing materials
- Assist with email campaigns, promotions, or website updates as directed

Administrative Support

Assist with administrative tasks such as:

- Patient intake forms and documentation
- Updating patient information in the EHR system (Jane App)
- Processing payments and retail sales
- Help organize marketing materials and clinic resources
- Support basic tracking of bookings, promotions, or engagement when needed

Qualifications

- 1–3 years of experience in customer service,



hospitality, healthcare, aesthetics, or a similar client-facing role
- Friendly, polished, and professional demeanor
- Strong communication and interpersonal skills
- Organized, detail-oriented, and proactive
- Interest in medical aesthetics, skincare, beauty, or wellness
- Comfortable using scheduling software, POS systems, and basic office technology

Assets

- Creative eye and attention to detail
- Experience with Canva, Mailchimp
- Familiarity with Instagram/Facebook and social media content creation
- Comfort being on camera or capturing content in a clinic setting

Additional Information**

This role includes participation in a comprehensive training and onboarding program designed to support skill development and long-term success within the clinic. Selected candidates will be provided with additional details as part of the interview process to determine eligibility.

Pay: $20.00-$24.00 per hour

Expected hours: 16.0 – 40.0 per week

Experience:

- Medical Office Administation or Reception: 1 year (preferred)
