Job: Governance Specialist
Location: Ottawa / Halifax / Victoria
Schedule: Core hours are 9:30am–3pm local time (somehow flexible). This role is Hybrid, 3 days in office, 2 days' work from home.
Rate: 60/hr
Interview process: 2 interviews via team ( 1 initial 1hrs Panel style followed but a 30min 1-1)
Clearance Requirement: must be eligible to obtain NATO- Secret
Contract Duration: 1 year -This position can be extended or become permanent
Position Summary
The AJISS Program is seeking a Governance Specialist to join the Integration Management Office (IMO) and play a critical role in establishing and overseeing process governance frameworks that enable effective integration across programs, functions and business units.
Reporting to the Integration Management Office Manager, with functional support from the Head of PMO, the Governance Specialist will ensure that integration initiatives are delivered with robust oversight, clear decision-making structures and effective reporting. This role will support our drive on governance discipline across integration workstreams, enabling leadership to make informed, timely decisions while maintaining alignment with strategic objectives.
The successful candidate will combine strong process governance expertise with excellent stakeholder management skills and experience working in complex, cross-functional environments.
Essential Functions / Key Areas of Responsibility
Governance Framework Support
- Aid the implementation of clear process governance frameworks, standards and procedures.
- Help to define and maintain decision forums,
escalation pathways and accountability structures.
- Ensure integration initiatives adhere to agreed governance standards, policies and controls.
- Assist the Steering Committee to ensure alignment between TCDS heads of discipline and the AJISS program.
- Monitor process controls, compliance requirements and governance checkpoints.
- Contribute to maintenance of governance repositories and process inventories.
Executive Reporting & Decision Support
- Develop and oversee executive reporting for integration programs, including status dashboards, risk reporting and key decision materials.
- Provide senior leadership with clear insights into integration progress, dependencies, risks and issues.
- Coordinate briefing materials and documentation for governance committees and executive decision forums.
Integration Collaboration
- Work closely with integration workstream leads to ensure alignment with process governance requirements.
- Track cross-functional dependencies and ensure issues are escalated appropriately.
- Support the integration roadmap by ensuring governance structures facilitate effective delivery.
Risk, Issue & Dependency Management
- Maintain mechanisms for tracking integration risks, issues and interdependencies.
- Facilitate issue resolution and escalation through appropriate governance channels.
- Ensure transparency and accountability in addressing integration challenges.
Continuous Improvement
- Identify opportunities to strengthen governance effectiveness and efficiency.
- Implement best practices for program governance, reporting and decision-making.
- Support the evolution of the Integration Management Office operating model.
Minimum Requirements: Skills, Experience, Education, Technical/Specialized Knowledge, Certifications, Language
- Bachelor’s degree or diploma in Business, Management, or a related field.
- 3–5 years of experience in process governance, PMO specialist, or integration management roles.
- Experience working in complex transformation, integration, or large-scale program environments.
- Strong understanding of governance frameworks, program controls and executive reporting.
- Demonstrated ability to influence senior stakeholders and facilitate decision-making forums.
- Exceptional organizational, analytical and communication skills.
Preferred Qualifications
- Experience in defence, technology, engineering, or regulated industries.
- Experience supporting ERP, digital transformation, or operational modernization programs.
Pay: $60.00 per hour
