We are seeking an organized, detail-oriented Medical Office Assistant (MOA) to support our physicians and clinical team in a busy medical environment.
Job summary
As a Medical Office Assistant / Administrator, you will be a primary point of contact for patients and visitors. You will support daily clinic operations through appointment scheduling, patient communication, medical records management, and administrative coordination. The ideal candidate is comfortable managing competing priorities while providing accurate, compassionate service.
Key responsibilities
Patient service and front desk
- Greet patients and visitors warmly and professionally.
- Manage patient check-in and check-out, verify health cards, and update patient information.
- Respond promptly to patient questions and concerns.
- Process payments through the clinic’s point-of-sale system and provide receipts through Juvonno.
- Manage patient invoices through PatientServ.
Scheduling and communication
- Schedule and coordinate appointments to support efficient clinic flow.
- Notify patients of appointments by phone, text, email, or Medeo, ensuring they receive complete and accurate details.
- Upload appointment confirmations to patient charts using appropriate labels.
- Review and manage online bookings, appointment changes, and follow-up needs.
- Coordinate with healthcare providers on scheduling matters.
Phone, email, and fax management
- Manage a multi-line telephone system and prioritize calls by urgency.
- Handle appointment inquiries, patient questions, and follow-up calls.
- Monitor clinic email and incoming faxes through Phelix,
directing information appropriately.
- Address urgent communications and tasks the same day.
Medical records and clinic support
- Maintain accurate electronic medical records and patient information.
- Upload, scan, label, and file documents in patient charts.
- Forward relevant documentation to physicians and other healthcare providers as required.
- Review and empty the physical scan tray daily.
- Protect patient confidentiality in accordance with clinic policies and applicable privacy requirements.
- Provide administrative support with filing, data entry, billing, and document management.
- Monitor Slack and other required clinic communication platforms during working hours.
- Collaborate with clinical and administrative colleagues and assist with other duties needed to support clinic operations.
Experience, education, and qualifications
- Three or more years of experience in a medical or healthcare office is preferred.
- A diploma or certificate in Medical Office Administration, Healthcare Administration, or a related field is preferred.
- Experience with patient intake, scheduling, multi-line phone systems, correspondence, medical records, referrals, and billing.
- Proficiency with electronic medical records and office software. Experience with Accuro EMR is strongly preferred.
- Knowledge of medical terminology and medical office procedures.
- Solid written and verbal communication skills, attention to detail, and a professional approach to patient service.
- Ability to prioritize urgent work, manage a high volume of tasks, and work both independently and as part of a multidisciplinary team.
- Basic clinical knowledge, such as familiarity with taking vital signs or preparing examination rooms, is an asset.
Pay: From $19.00 per hour
Expected hours: 35.0 per week
