Status: Full-Time (Contract)
Pay: $48,000-$52,000 per annum, based on experience

Position Summary
As an Office Manager, you will oversee the administrative and on-site financial operations of the Home, ensuring effective office procedures, accurate resident billing, payroll support, and compliance with all policies and regulatory requirements. Reporting to the Administrator and collaborating with Head Office Finance, you will also support resident services, staff administration, and general office management to contribute to a welcoming, organized, and resident-focused environment.

Key Responsibilities

- Resident Accounts: Manage resident files and accounts, ensuring timely and accurate billing, payment posting, collections, and compliance with MOHLTC standards; respond to resident/POA inquiries; close resident files upon discharge.
- Payroll/Benefit Support: Assist with payroll and benefit administration, verify time and attendance, coordinate new hire information, and respond to staff payroll inquiries.
- Accounting: Provide on-site financial support, including deposits, invoice review, petty cash management, resident Trust Accounts, and preparation of tax receipts; perform reconciliations and financial control testing as required.
- Administrative Support: Provide responsive administrative assistance to the management team, including scheduling, meeting coordination, WSIB claim support, absenteeism tracking, and correspondence management.
- Files and Records: Maintain organized, accurate, and confidential resident and staff records, ensuring compliance with company policies and MOHLTC regulations.
- Teamwork and Communication:



Foster effective communication and collaboration within the Home and with Head Office; provide tours for prospective residents and support front-desk reception duties as required; participate in special projects.

Qualifications

- Post-secondary degree or diploma in Business Administration, Accounting, or equivalent experience
- Minimum of two years relevant office experience; prior accounting and payroll experience preferred
- Knowledge of computerized office software; familiarity with scheduling/payroll systems and PointClickCare is an asset
- Strong interpersonal, communication, organizational, and analytical skills
- Ability to work independently, handle multiple priorities, and maintain a high level of accuracy
- Experience working with a Collective Agreement is an asset
