Job Overview

We are seeking a highly organized and proactive Administrative Officer to support our operational functions and ensure the smooth running of daily activities. The ideal candidate will possess strong organizational, communication, and computer skills, with a keen eye for detail and a commitment to excellence. As an Administrative Officer, you will be responsible for managing administrative tasks, coordinating projects, and providing exceptional customer service to internal and external stakeholders.

Duties

- Manage and maintain accurate records, databases, and filing systems using Microsoft Access, SharePoint, and other relevant software.
- Prepare professional reports, presentations, and correspondence utilizing Microsoft Word, PowerPoint, Excel, and Outlook.
- Coordinate meetings, schedule appointments, and organize events with effective time management and organizational skills.
- Oversee procurement processes, including vendor negotiations and purchase order management to ensure cost-effective procurement.
- Provide exceptional customer service by addressing inquiries promptly and professionally via phone, email, or in person.
- Support project management activities using tools such as Microsoft Project to track progress and deadlines.




- Assist in records management and document control to ensure compliance with organizational policies.
- Collaborate with team members across departments to streamline administrative workflows and improve efficiency.

Requirements

- Proven experience in administrative roles with strong organizational and record-keeping skills.
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, Access, SharePoint, and Project.
- Excellent communication skills in English;
- Experience in Dental office operations is a must .
- Strong analysis skills with the ability to interpret data and prepare detailed reports.
- Demonstrated leadership qualities with the ability to manage multiple tasks simultaneously.
- Knowledge of databases, filing systems, procurement procedures, and records management practices.
- Effective negotiation skills coupled with excellent customer service orientation.
- Familiarity with Windows operating systems and general computer skills essential for daily operations.
- Ability to work independently as well as part of a team while demonstrating professionalism and attention to detail.
