Our MissionSmall Change Fund acts as a catalyst for individuals and grassroots organizations. We work together with partners to improve the environment; reduce poverty; and promote reconciliation efforts across Canada including, working with Indigenous Peoples to support the protection of their lands, waters and communities. We are a capacity support engine and have helped more than 325 organizations across the country, raising over $30 million for projects, the majority of which tackle environmental and climate-related issues.
The RoleThe Fundraising and Administration Manager is a dual-purpose role designed for a highly organized professional who thrives in a fast-paced, mission-driven environment. You will provide critical support to the V.P. Development, V.P. Projects and senior leadership, ensuring the seamless organization and stewardship of our growing donor base, and allied project partners.
This role operates in the centre of our fundraising and project management operations, balancing meticulous data management, compelling communications with high-level administrative coordination to keep our campaigns on track and our donor relationships strong and growing.
Key Responsibilities
Fundraising Operations & Data Stewardship
- Database Management: Ensure the seamless collection, input, tracking, and reporting of all donor and prospect information within our CRM (Bloomerang), both with entry and oversight. In alliance with the IT Director, ensure the smooth and consistent workings of Small Change Fund’s Bloomerang database, including training existing and new users on best practices.
- Gift Processing: Coordinate the administration of gifts and pledges, working closely with the finance team to ensure they are recorded accurately and processed efficiently and promptly.
- Reporting: Assist in the production and distribution of stewardship reports and donor proposals to keep our supporters informed of their impact in cooperation with all projects leads. Act as a “tracker” to ensure reports are submitted on time and with great accuracy.
Writing and Communications
- Proposal Development and Content Creation: Draft, edit,
and proofread high-quality grant-related communications alongside other senior staff, including letters of interest, formal proposals, and detailed reports, ensuring all deliverables are tailored to specific funder requirements.
- Strategic Prospect Research: Conduct ongoing research to identify new institutional funding opportunities and prospective donors that align with the organization’s long-term growth strategy and fundraising needs. Maintain a deep understanding of relevant fields to better position the organization for funding.
- Stakeholder Collaboration and Management: Work closely with executive leadership and program staff to collect necessary data for submissions well in advance of deadlines. Build and maintain relationships with diverse stakeholders, responding to inquiries and assisting grantees or applicants through the decision-making process.
- Reporting, Monitoring, and Compliance: Maintain accurate and timely records of all correspondence, deliverables, and grant schedules. Monitor and document the results of grant projects to prepare progress reports that track organizational impact and ensure accountability.
Administrative Support
- Meeting Coordination: Prepare and distribute pre-meeting materials, attend development meetings, and record/track detailed action items for the leadership team.
- Calendar Management: Build and maintain the master campaign calendar to maximize cultivation and stewardship opportunities.
- Executive Support: Provide administrative assistance to the V.P. Development, including securing donor meetings and proactive follow-up with volunteers as needed.
- Public Liaison: Respond professionally to public inquiries regarding donations and organizational programs.
Program & Event Support
- Event Coordination: Assist in the planning and execution of donor cultivation events and campaign launches.
- Digital Integration: Source current projects for our crowdfunding platform and monitor evaluation indicators to measure program performance.
- Resource Management: Collect, record,
and analyze project data to support organization-wide fundraising goals, in cooperation/collaboration with the Projects team.
Requirements
- Education: Post-secondary degree in environmental studies, social studies, political science or related field or an equivalent combination of education and relevant experience
- Experience: A minimum of three to five years of experience in a fundraising, communications or administrative role, preferably within a charitable organization.
- Technical Skills: Advanced proficiency in Google Workspace and Microsoft Office; experience with CRM/fundraising databases is essential, especially Bloomerang.
- Communication: Exceptional written and verbal communication skills with a keen eye for detail and accuracy.
- Soft Skills: A “self-starter” mentality with the ability to work independently and as part of a small, agile team.
