THE ROLE AND IMPACT:
The Manager, CRM & Campaign Systems is accountable for the health, administration, integration, and continuous improvement of CF Canada’s CRM and campaign platform ecosystem, including Raiser’s Edge, RE NXT, Engaging Networks, Omatic, CrowdChange, and related tools. The role also leads the Donor Processing team, setting priorities, service standards, and procedures that support accurate gift processing, exception handling, reconciliation, and donor data quality.
RESPONSIBILITIES AND OPPORTUNITIES FOR GROWTH:
Donor Processing
- Oversee gift processing, exception handling, reconciliation support, data quality review, and handoffs with Finance, fundraising, and data teams.
- Strengthen procedures, controls, documentation, and service standards to support accurate, timely, and auditable donor processing.
CRM and Campaign Platform Ownership
1. Own and administer CF Canada’s CRM and campaign platforms, including Raiser’s Edge, RE NXT, Engaging Networks, Omatic, CrowdChange, event tools, and related systems.
- Maintain configuration, permissions, user access, vendor settings, system hygiene, and administrative standards.
- Monitor platform health, usability, release impacts, access risks, and recurring issues to keep systems reliable and fit for purpose.
Integrations, Automation and Data Flow
- Build, maintain, troubleshoot, and improve integrations, automations, imports, exports, file transfers, and data synchronization processes.
- Reduce manual work by creating reliable, repeatable data flow and integration practices.
- Document logic, dependencies, schedules, exceptions, monitoring needs, and support requirements for critical processes.
Systems Improvement and Modernization
- Translate business needs into practical system changes, configuration updates, tool enhancements,
solution options, and technical recommendations.
- Improve donor processing workflows, campaign setup, event data capture, communication preferences, constituent records, segmentation, reporting feeds, and insight enablement.
- Shape the platform roadmap by assessing feasibility, effort, sequencing, risk, dependencies, operational impact, and budget allocation across services with the Sr. Director, IDST.
Campaign, Fundraising and Insights Support
- Partner with fundraising and operations teams to support clean campaign data capture, usable segmentation, reliable lists, and stronger insight.
- Troubleshoot system, integration, configuration, vendor, and data flow issues that affect fundraising operations.
- Support more connected, efficient, and insight-ready views of donors, constituents, campaigns, events, and engagement activity.
Compliance, Documentation and Risk Management
- Maintain documentation for configurations, integrations, access settings, vendor dependencies, change records, troubleshooting steps, and recurring processes.
- Lead access controls, privacy expectations, data handling practices, audit readiness, vendor risk awareness, and compliance requirements.
- Identify and escalate risks related to permissions, data movement, unsupported processes, privacy concerns, integration failures, or reliability issues.
Vendor and Issue Management
- Coordinate with vendors, implementation partners, managed service providers, and internal stakeholders to resolve platform and integration issues.
- Manage troubleshooting, root cause analysis, vendor tickets, release testing, follow-up, and remediation.
- Provide clear updates, options, risks, and recommended paths forward when issues, requirements, or solution decisions affect fundraising, data operations, reporting, or staff use.
Collaboration and Organizational Knowledge
- Apply solid knowledge of CF Canada’s fundraising, engagement, donor processing, data operations, system dependencies, and organizational priorities.
- Collaborate with IDST, Donor Processing, Data Operations, fundraising, Finance, IT, vendors, and other stakeholders to align tools with business needs.
- Create clear technical and user-facing documentation for tool changes, integration impacts, administrative processes, and support pathways.
- Perform other duties as assigned.

- Manages, engages, and retains qualified employees to meet business priorities.
- Provides authentic leadership, support and direction in the development, alignment, and accomplishment of objectives through on-going performance feedback, recognition, and coaching.
- Provides a safe and healthy work workplace for team members and relevant stakeholders. Ensure they work in compliance with The Occupational Health & Safety Act in applicable province of employment, its regulations, and the Foundation’s Health & Safety Policy
Other Duties
- Perform other duties as assigned.
WHAT YOU BRING:
Required Qualifications
- Post-secondary education in a related field, or equivalent experience.
- 5+ years of experience in CRM administration, data platforms, systems integration, donor processing, or related work.
- 2+ years of experience supervising staff or leading an operational team.
- Solid knowledge of fundraising, donor management, campaign, event, or CRM platforms, such as Raiser’s Edge, RE NXT, Engaging Networks, Omatic, or similar tools.
- Experience configuring, troubleshooting, and improving integrated systems that support fundraising, engagement, data, reporting, and constituent management.
- Experience with imports, exports, validation, error handling, file transfers, or integrations.
- Understanding of donation and campaign data flows, constituent records, segmentation, privacy, and data quality practices.
- Knowledge of gift processing controls, reconciliation, receipting, audit readiness, and documented procedures.
- Intermediate to advanced Microsoft Excel skills.
- Strong communication, collaboration, organization, and problem-solving skills.
Preferred Qualifications
- Experience in a nonprofit, fundraising, healthcare, or mission-driven organization.
- Experience with scripting, SQL, Microsoft Power Platform, APIs, or light automation.
- Related platform, data management, or privacy training or certifications.
