Bring your excellent leadership and client service skills to our team as a Program Administrator within our Facility Inspection Program (FIP) department.
The FIP department coordinates inspections of dental offices that administer sedation and/or general anesthesia and take dental CT scans. The team reviews and processes applications and annual renewals for permits and authorizations required to offer and administer dental sedation services, and prescribe, order, and take dental CT scans.
You will be responsible for overseeing the administrative workflow related to sedation authorizations and facility inspections in addition to supporting the ongoing development, implementation and maintenance of related programs and services.

This is an 18-month contract anticipated to conclude in August 2028. This role will require the successful candidate to work onsite at our Toronto office or attend in-person meetings occasionally as needed.
What can I expect to do in this role?
Reporting to the Manager, FIP you will:
- Oversee the day-to-day operations of processing sedation authorizations and facility inspections, ensure facilities are re-inspected on schedule and are in compliance with the Standard of Practice – Use of Sedation and General Anesthesia in Dental Practice.
- Use a risk-based approach,
bring to the manager’s attention potential concerns that could be referred to the Registrar.
- Oversee the issuing of letters with the results of the sedation provider reviews and facility inspections, including issuing annual authorizations and permits.
- Train and supervise administrative staff responsible for processing sedation applications, provider record reviews and facility inspections
- Develop and maintain administrative workflows and documentation of administrative processes, policies and procedures.
- Maintain tracking systems, statistics and reporting related to sedation authorizations and facility permits; support IT systems improvements.
- Respond to complex telephone/email inquiries regarding FIP Department processes, requirements for sedation facility permits and authorization.
- In the manager’s absence, assume delegated authority to approve authorizations and facility permits and oversee the CT program staff in addition to sedation program.
- Oversee the annual sedation renewal process and workflows.
- Maintain department files, databases, records
- Assist with the recruitment and selection process of current direct-report staff
- Other duties as assigned
What skills and background do I need?
The Program Administrator requires
- Completion of a two to three-year community college program and three- to five- years of position-related experience
- Excellent organizational skills and ability to prioritize assignments in a fast-paced environment
- Excellent customer service and communication skills to effectively engage with internal and external stakeholders
- Excellent analytical skills and critical thinking abilities; can identify problems, understand the underlying cause of the issue, propose, and implement appropriate resolutions
- Ability to interpret,
explain and administer complex legislated requirements and by-laws
- Excellent interpersonal skills, including a high-level of diplomacy, patience, and tact
- Extensive knowledge of Microsoft Office Suite and Adobe Acrobat
- A reliance on data, research and/or evidence to make informed decisions and is adept at learning recent technologies and implementing data-driven solutions
- Experience in a legal or regulatory environment is an asset
- Previous supervisory experience is an asset
- RCDSO is building its bilingual (French/English) capacity and excellent French language proficiency is an asset
Compensation and Total Rewards
- Base annual hiring salary from $78,148 to $87,916.50 (pro-rated for the duration of the secondment), commensurate with experience
