About the Role
Reporting to the Supervisor, Clerk’s Services/Deputy Clerk, the Records Management Clerk coordinates the Township’s records and archive management programs, supports Corporate Services functions, and coordinates legislative and administrative processes including records retention, document imaging, Freedom of Information (FOI) requests, licensing administration, and municipal elections.
Highlights of key responsibilities include:
- Coordinate and maintain the Township’s records management, retention, archival, and document imaging programs.
- Maintain file classification systems, records inventories, metadata, and annual records destruction processes in accordance with Township policies and legislation.
- Provide training and guidance to staff regarding records management practices and software systems.
- Support municipal elections as a Deputy Returning Officer and assist with election administration activities.
- Coordinate and complete FOI requests, records retrieval, privacy-related matters, and legislated reporting requirements.
- Coordinate special records management projects, policy development, file consolidations, and vendor activities.
- Administer lottery licensing, liquor license circulation, and related regulatory processes on behalf of the Licensing Officer.
- Provide administrative support for Council and Committee processes, including agenda, minutes, and records management activities.
- Respond to public, staff, and stakeholder inquiries while delivering exceptional customer service.

What You Bring The ideal candidate possesses solid records management, administrative, and customer service skills, together with a solid understanding of municipal legislative requirements. The successful candidate will have a three (3) year college diploma in records management, business administration, office administration, or a related discipline, with related records management experience.
Experience with document management systems, records retention practices, Freedom of Information processes, Microsoft Office applications, and municipal administration is considered an asset. The ability to maintain confidentiality, exercise sound judgment, and communicate effectively with a wide range of stakeholders is essential. A valid Class G Driver’s License and access to a reliable vehicle are required for this role.
A satisfactory Driver’s Abstract and Criminal Background Check are required for this role.

This bargaining unit position offers a salary commensurate with experience and education (2026 salary range of $28.08/hr. – $33.74/hr.).
