Job Responsibility:

Administrative Assistant

Position Responsibilities

Reporting to the Department Director and/or designate, the Administrative Assistant will provide administrative support to all departments including corporate services, finance, community services, operational services, utility services and land management services. an efficient and accurate manner with emphasis on independent work habits and self-motivated initiative to learn and excel in all aspects of the administrative process. Decision making is related to internal workflow and the need to exercise good judgment when dealing with the public to address inquiries, concerns, or complaints.

Specific Accountabilities

· Provides consistent and knowledgeable customer service to all clients.

· Performs all core administrative duties for the MD office including answering and screening all in-bound calls, emails, and visitors as the first point of contact with the public; responding to inquiries, concerns, and action requests in a professional manner.

· Data entry in various programs including Microsoft Office, Outlook, Microsoft Dynamics GP, Assets Essentials, MuniSight, and other data systems.

· Provides back up to the administrative receptionist as well as other admins within the department.

· Responds in a professional and timely manner to inquiries, complaints, or suggestions from clients, providing effective follow-up as required.

· Coordinates meetings and minutes, conference calls, training, and travel arrangements for departments upon request.

· Coordinates preparation of reports, memos,



presentations, analyzing data, and identifying solutions.

· Maintains general electronic and hard copy filing system following MD's retention schedule.

· Maintains workflow by studying methods, developing procedures, and creating and revising systems.

· Completes other administrative duties for other departments as required.

Qualifications & Experience

· High school diploma - required.

· Valid Alberta Class 5 Driver's License - required.

· Standard First Aid and CPR - asset

· Minimum 2 years of relevant administrative experience in an office environment - required.

· Proficient in the use of a variety of software packages (Microsoft Word, Excel, PowerPoint, Outlook). - required

· Experience in Microsoft Dynamics GP software - asset

· Excellent communication (verbal and written) and time management skills with orientation to detail - required

· Ability to work in a government setting with a focus on customer service, tact, and professionalism - required

· Ability to work well under pressure, individual and as part of a team - required

· Effective time management skills with the ability to multitask - required





· Working knowledge of legislation, regulations, policies and procedures that impact municipal government operations - asset

Salary Range: $27.66-$36.40/hour ($52,144 - $75717 per annum), dependent on experience.

These positions work Monday - Friday.

We are looking for Temporary, Permanent and Term staff.
