We are seeking a proactive and organized Office Admin/Septic Dispatch professional to join our dynamic team. In this vital role, you will coordinate daily septic dispatch operations, manage communication channels, and ensure smooth scheduling of septic services. Your energetic approach and attention to detail will help streamline the daily operations of our septic division, enhance customer satisfaction, and support our field technicians. This position offers an exciting opportunity to be the backbone of our operational efficiency, utilizing your skills in transportation management systems, data entry, and communication to keep everything running seamlessly.
Office Support Responsibilities:
- Promptly answer and direct incoming calls using a multi-line phone system, ensuring calls are transferred to the appropriate team members.
- Respond to incoming emails within 30 minutes during regular business hours.
- Complete accurate and timely data entry for all division registries.
- Assist with preparing and emailing rate sheets and quotes to customers.
- Maintain office equipment, including printers, computers, photocopiers, and other related equipment, and coordinate servicing or repairs as required.
- Monitor and maintain office supply levels and place orders as needed.
- File, organize, update, and maintain physical and electronic records, including creating and maintaining electronic files.
- Provide administrative and operational support to other departments and team members as required.
- Assist with additional administrative duties and special projects as assigned.
Septic Dispatch Responsibilities:
- Answer customer calls and schedule septic services
- Check in with drivers throughout the day to monitor progress, provide support, and address any scheduling or service issues.
- Generate daily recurring invoices
- Send invoices to customers, process payments, and maintain accurate billing records
- Work Ticket Data entry into registers
- Dispatch technicians and coordinate daily routes
- Communicate and process service issues with customers and drivers
- Update septic routes on a weekly basis
- Handle scheduling changes and urgent service requests
- Maintain accurate records and paperwork
- Previous dispatch, septic, or service-industry experience is an asset
Qualifications:
- Minimum of 3 years of proficient experience using Microsoft Office, including Word, Excel, and Outlook. MUST BE HIGHLY PROFIENT IN EXCE
- Strong technical and computer skills, with the ability to learn and adapt to new software and systems
- Excellent telephone etiquette and professional communication skills
- Strong command and full comprehension of the English language
- Ability to work independently while also contributing effectively as part of a team
- Strong ability to multitask, prioritize competing demands, and complete work accurately and on time, even under pressure.
- Comfortable working in a fast-paced setting with frequent changes and shifting priorities
- Excellent written and verbal communication skills
- Strong organizational, analytical, and problem-solving skills
- Previous dispatch, septic, or service-industry experience is an asset
*For the right person, this position could lead to dispatching and billing our Toilet Deliveries and Removals division*
This position requires 1 to 2 Saturdays per month, we are on a bus route but having own transportation would be ideal.
This position starts at $23.00 hour and we offer excellent Medical, Dental and Vision Care Benefits.
Pay: $23.00 per hour
Expected hours: 40.0 – 50.0 per week
