We are looking for an organized, detail-oriented person to help keep our autobody office, customer communication, invoicing, and job paperwork moving.
We want every customer to feel cared for like family. That means listening, learning what matters to them, explaining the next steps clearly, and following through. Each customer and repair is different, and we want their experience to feel personal from the first call to vehicle pickup.
You will work with our on-site supervisors and partner with an off-site bookkeeper and controller. This is a busy, hands-on role that requires accuracy, quick learning, teamwork, and a willingness to help wherever needed. Training will be provided on autobody estimating.
What you will do
- Answer customer calls and emails with patience, warmth, and clear information.
- Learn each customer’s concerns and preferences, provide thoughtful updates, and follow through on questions and commitments.
- Schedule appointments and coordinate information between customers, supervisors, technicians, and suppliers.
- Organize digital job files, including estimates, approvals, work orders, parts invoices, photos, and other supporting documents.
- Check paperwork for missing or inconsistent information and follow up with the appropriate team member.
- Create customer invoices in QuickBooks Online (QBO) using approved job information.
- Record customer payments in QBO and balance payment records against the point-of-sale (POS) system, investigating and reporting discrepancies.
- Prepare complete, organized records and supporting documents for the off-site bookkeeper and controller.
- Learn our estimating software and assist with estimates and supplements as trained.
- Track autobody rate and supplement information, flag changes, and bring recommendations to management for review.
- Help with everyday shop needs, including keeping the office tidy or assisting with vehicle cleaning when needed.
What we are looking for
- A genuine interest in giving every customer respectful, personalized service.
- Strong communication skills in person, by phone, and by email.
- Excellent organization, accuracy, and attention to detail.
- Experience creating invoices, recording payments, and balancing transaction records.
- Confidence using QBO or similar accounting software, POS systems, email, digital files, and new software.
- The ability to manage several priorities and follow through in a rapid-paced environment.
- A team-focused approach: willing to ask questions, share ideas, and follow existing procedures until changes are approved.
- A practical attitude and willingness to help with both office and hands-on tasks.
Automotive or autobody office experience is an asset, but we will train the right person on estimating. Experience preparing complete job files for an off-site accounting team is also valuable.
