Job Summary

This is a dynamic role that will use your operational and coordination skills to support the repair division of a company located in Delta, BC.

Duties and Responsibilities

- Project Administration: Maintain accurate project, status and supporting information within our ERP system, prepare month end invoicing packages and reconcile final billing against approved estimates and project documentation, review job documentation for completeness, and maintaining accurate and traceable record.
- Project Coordination: Review incoming repair requests, coordinate the routing of projects to the appropriate service network facility and prepare estimate approval packages based on shop assessments and quotes.
- Maintenance & Job Tracking: Actively track jobs at facilities and coordinate status updates from service facilities, accurately report on job progress, and immediately escalate issues or delays as they arise.
- Customer and Facility Support: Serve as the friendly, reliable liaison for our network. Fulfill parts requests, facilitate project scope clarifications and relay technical support inquiries between service network shops and our internal personnel.
- Logistics: Coordinate the administrative requirements associated with vessel movements including scheduling, status reporting and return arrangements to logistics personnel.
- Dashboards and Analytics: Update and maintain departmental reports and dashboards that track KPIs, turnaround times,



work in progress and overall service performance.
- Continuous Improvement: Support the department's continuous improvement by helping to document workflows, administrative processes and procedures.

Qualifications and Requirements

- Education and/or experience centered on business operations, administration, project coordination, repair, customer/technical service, supply chain, fleet service, or a related area.
- Exceptional written and verbal professional English communication skills
- Strong to advanced capability with Microsoft Excel and / or Google Sheets including data management, formulas and lookups (Experience with spreadsheet automation and macros is an asset).
- Demonstrated experience using and navigating ERP, CRM, work order or comparable business systems
- A strong intuitive grasp of digital workspaces, with the ability to look for opportunities to organize electronic records and optimize data workflows for greater team efficiency.
- Must be comfortable reading, interpreting, and communicating technical information and specifications clearly.
- Highly Organized and conscientious with exceptional attention to detail. Can manage multiple moving pieces, dates,



and documents in an ever-changing environment without losing accuracy.
- Enjoys working with people, possesses excellent interpersonal and customer service skills and builds productive relationships across external internal stakeholders.
- Thrives in both independent and team settings. When priorities shift, you remain calm, organized, professional, and focused on finding a solution.
