Job Summary

Part-Time Office Assistant (Mon/Wed/Fri) with Full time Vacation Coverage
- Work Monday, Wednesday and Friday from 9:00am to 5:00pm. Be available to transition to full-time (Monday through Friday) to cover the Office manager's planned time off (up to 5 weeks per year) and sick time.
- Be available to work one Saturday per year for our AGM
We are seeking a dynamic and organized Office Assistant to join our team! You will be part of a small team responsible for a non-profit housing cooperative. This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth workflow across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will handle a variety of clerical duties, provide exceptional customer service, and contribute to creating an efficient and welcoming office environment.
Responsibilities
- Create and modify documents with Microsoft Word, Excel and Outlook, including letters, memos, information bulletins, merged documents, and spreadsheets.
- Basic bookkeeping activities, including invoicing, billing and financial record keeping.
- Process concerns and requests from members, contractors and other contacts
- Write up work orders and forward to appropriate department
- Greet visitors and manage front desk operations with professionalism courtesy.
- Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette.
- Organize and file documents systematically,
ensuring easy retrieval and document integrity
- Assist with appointment scheduling, calendar management and correspondence handling
- Request and manage estimates and quotes from vendors and contractors
- Maintain office supplies inventory and coordinate procurement as needed.
- Work closely with Maintenance department to track budgets and arrange for maintenance work to be completed
- Data entry for payroll system
- Submit housing charges via online portal
- Prepare and deliver bank deposits on behalf of the co-op
- Take instruction and perform tasks as requested from our Board of Directors
- Must be able to maintain strict confidentiality and neutrality. A breach of this requirement would result in dismissal from position
Qualifications
- Proven clerical or administrative experience in an office setting
- Excellent communication skills, both oral and written
- Strong interpersonal skills are a must
- Ability to multi-task
- Strong computer skills with proficiency in Microsoft Office (Word, Excel)
- Bookkeeping experience including a/p, a/r, reconciliations, etc; knowledge of Sage 50 Premium Accounting an asset
- Excellent organization skills with keen attention to detail for proofreading and data entry tasks
- Knowledge of filing systems, document management, and basic bookkeeping practices
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Drivers license and vehicle are a must
Pay: From $20.00 per hour
Expected hours: No less than 22.5 per week
