Practice Manager

We function as an outsourced HR and recruitment department - helping organizations reduce stress, build high-performing teams, and implement people strategies that drive revenue and impact.
We are proud to support our client, a specialty veterinary practice, in their search for a Practice Manager. Our client provides specialty-level veterinary care and is known for a strong team and a collaborative, patient-focused culture.
The Practice Manager is accountable for the day-to-day management of clinic operations from front to back, ensuring the practice runs efficiently, consistently, and professionally. This role oversees staff, referrals, scheduling, communications, accounts receivable, payroll, vendor coordination, client experience, and implementation of operational changes, with support from the Leadership team as needed.
What Does the Opportunity Look Like?
You'll take ownership of clinic operations across four core areas:
Operational Leadership & Team Management
- Provide visible day-to-day leadership across the clinic - owning SOP adherence, reception operations, schedule oversight, service productivity, and medical records
- Manage the team: staffing, daily assignments, performance coaching, hiring/terminations, and escalated staff concerns
- Oversee reception to ensure client communication, scheduling, and front-desk service stay consistent and qualified
Financial & Administrative Oversight
- Hold financial accountability for services rendered, including clinician billing and provider productivity targets
- Oversee payroll (hours,
overtime, sick/vacation) and act as the main point of contact for vendors and pharmaceutical reps
Scheduling & Communication
- Coordinate scheduling and calendars with the Care Coordinator, and keep clinic communications, meetings, and DVM updates clear and consistent
- Lead operational changes from rollout through adoption, ensuring they stick
Client Experience & Culture
- Manage escalated client concerns and workflow issues, and support team culture through staff engagement and recognition

What Are We Looking For?
- Minimum 3–5 years of experience in human medical or veterinary practice management, preferably in a specialty or multidisciplinary hospital or clinic
- A bachelor's degree in business administration or a related field is preferred
- Proficient in MS Office and practice management software
- Ability to maintain a professional demeanour with both clients and team members, and to interact positively with a variety of people in person and over the phone
- Up-to-date knowledge of ABVMA standards, industry standards, and best practices
- Proficient in navigating ambiguity and making well-informed decisions, willing to take calculated risks and remain resilient during times of uncertainty
- Ability to stand for long periods and lift up to 50 pounds
Pay: $75,000.00-$90,000.00 per year
