Industrial Office and Logistics Administrator
Location: Vancouver, BC
Job Type: Full-Time, In-Office
Compensation: $27.00-$36.00 per hour

Rescue Solutions International Inc. ("RSI") designs, manufactures, and distributes unique, proprietary, intrinsically safe non-pyrotechnic line throwers for Search & Rescue, Law Enforcement, Military, Commercial Marine, Industrial and Mining communities worldwide.

Position Overview

We are seeking a highly organized, detail-oriented, and proactive team member at our new facility located in the industrial heart of south Vancouver.

Reporting directly to senior leadership, this position plays a critical role in ensuring efficient business operations over a broad range of functions, including but not limited to accounting, administrative, logistics and marketing.

The ideal candidate is a self-starter with experience supporting a small manufacturing business in a multi-functional role, who enjoys working independently and takes pride in maintaining accuracy and operational excellence while supporting team efforts with the flexibility to manage changing priorities as they arise.

Key Responsibilities

Bookkeeping

- Tracking of accounts receivable; including payments and reconciliations.
- Manage vendor accounts payable; processing and payment of vendor invoices matched to packing lists and purchase orders.
- Maintain accurate accounting records and supporting documentation.
- Assist with month-end and year-end financial reporting and audits.
- Management and reconciliation of GST and HST reporting.

Office Administration

- Manage incoming emails, mail, calls and voice mail and inquiries professionally and efficiently.
- Work with a variety of vendors for various parts procurement via RFQs and writing of purchase orders.
- Diligent maintenance of Purchase Order Book to log and manage the schedule of receipt for parts on order.




- Maintain organized electronic and physical filing systems.
- Ensure business supplies and equipment are effectively stocked.
- Support management with administrative matters as needed.
- Assist with printing of materials as required.
- Data entry.

Logistics

- Utilize shipping partners (such as Purolator, DHL, FedEx, UPS) and various freight forwarders (such as Nippon Express) to analyze costs for the best shipping rate.
- Preparation and filing of import and export shipping documents.
- Create shipping and consignee labels for boxes and/or pallets.
- Manage CARM portal for Canadian customs clearance of goods.

PR / Marketing Materials / Technology

- Manage and update website content as required.
- Utilize digital tools and AI-assisted technologies to enhance productivity through creation of e-commerce portal in conjunction with the website.
- Utilize digital tools and AI-assisted technologies to update training and collateral materials; manuals, brochures, product portfolio, spec sheets, etc.

Qualifications

- Strong critical thinking skills.
- Experience maintaining various records for a small business.
- Knowledge of import and export shipments.
- Knowledge of accounts payable, accounts receivable, bank reconciliations, and billing processes.
- Proficiency with accounting software and Microsoft 365 applications, including Excel, Outlook, Word, and Teams.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- High attention to detail, accuracy,



and confidentiality.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively with a team.
- Familiarity of ERP, inventory, and/or production systems.
- Experience with detailed and accurate data entry.
- Experience with AI-powered workplace tools and the responsible use of AI technologies.
- Willingness to be a versatile team-player in a cooperative workplace setting.
