United Cerebral Palsy of Southern Arizona is a growing non-profit agency in Southern Arizona. We are looking for a new member to join our team as a full-time Bilingual HR Assistant in our Tucson office. This job is ideal if you are dependable, detail-oriented, and thrive in a busy office setting.

JOB DUTIES:
Recruitment
- Implement aligned recruiting; hire/recruit new employees specific to needs.
- Attend job fairs.
- Process applications and conduct interviews of potential staff.
- Ensure proper certifications, references, and employment verifications are obtained for each employee.
- Assist with E-Verify for appropriate I-9 documentation.
- Assist with Recent Hire Orientation, ensuring new employees complete all paperwork, upload copies of certifications, and provide telephony cards.
- Assist with all new hire paperwork, create personnel files, and enter new hire information into Paycor.
- Assist with entering the name, Social Security number, and birthdate of new hire into the new hire spreadsheet and email to the Benefit Administrator monthly.
- Securely email DCS Background checks for new employees.
- Complete a search on the OIG website for Medicaid fraud for new employees.
- Assist with processing all fingerprint clearance card denials and/or suspensions and handle them appropriately.
Documentation
- Assist with maintaining accurate and detailed documentation of all contacts with staff in scheduling software and in staff files.
- Assist with maintaining personnel files for all Direct Care Workers pursuant to contractual requirements and governmental regulations.
- Assist with rolling internal audit of personnel files.
Compliance
- Adhere to the agency’s Policies and Procedures.
- Maintain consumer and agency confidentiality at all times.
- Ensure the agency’s grievance policies are implemented as needed.
Certifications
- Assist with verification of current certifications and requirements such as Criminal History Affidavit, fingerprint clearance card, 39 MVR driving record, and CPR/First Aid.
- Process check requests for fingerprint cards.
Employment Law
- Stay current in knowledge of employment law.
- Attend required training to ensure proper agency practice of human resource functions.
- Join and regularly attend SHRM-GT meetings.
Assist with FMLA requests.
Assist with the Workers’ Compensation Process
- Answer employee questions and have them call MedCorp.
- Speak with the clinic’s doctor.
- Work in conjunction with WCCA and the insurance carrier.
- Create a modified duty letter if UCPSA cannot accommodate work restrictions with shifts.
- Coordinate employee’s schedule to review modified duty, if needed.
- Notify the Program Department and Staff Supervisors of any restrictions per doctor’s report and keep them updated as necessary.
Assist with exit interviews at termination as needed.
- Collect all agency property.
- Process personnel files of terminated employees.
- Remove I-9s from the active I-9 notebook and file in the inactive notebook.
- If appropriate, cancel any health insurance benefits and/or dental insurance and submit COBRA information to the third-party administrator.
- Work closely with the accounting department to resolve payroll issues.
- Process all incoming employment verifications for current and past employees.
- Arrange for drug testing as necessary.
- Assist with agency fundraising efforts.
- Attend meetings with Program Managers when needed.
- Conduct other reasonably related duties as assigned by the Regional Director or HR Coordinator.
QUALIFICATIONS:
- Associate degree in a related field.
- Two (2) years of experience in a related field.
- Working knowledge of employment law.
- Human Resources basic certification within one (1) year of employment.
- Able to work effectively with team members as well as independently.
- Flexibility based on agency needs.
- Experience with the following:
- COBRA
- ADA
- FMLA
- Non-discriminatory hiring practices
- Worker’s Compensation
- Hold or obtain a current Arizona level one fingerprint clearance card.
- Satisfactory DES background check.
- Hold or obtain Direct Care Worker AHCCCS-mandated training.
- Hold or obtain CPR/First Aid certification.
- Hold or obtain Article 9 training.
- Hold or obtain TB testing clearance, if required by agency services contract.
- Able to learn and operate agency program software, as well as other computer programs necessary to complete job duties.
- Excellent oral and written communication.
- High degree of professionalism as evidenced by commitment to working with people with disabilities, and effective communication of the agency’s goals and services.
- Ability to become a Notary Public.
- 18 years of age or older.
- Bilingual in English and Spanish preferred.
