The Onboarding & Transitions Specialist is responsible for delivering an exceptional advisor onboarding and transition experience from recruitment through activation. This role manages advisor contracting, licensing validation, transfers, carrier code setup, advisor maintenance, and system updates while serving as a key liaison between advisors, carriers, compliance, field leadership, and internal operational teams.

Position Responsibilities: Advisor Onboarding

Coordinate end-to-end onboarding of new advisors joining the MGA.

Review and process advisor contracting packages for completeness and accuracy.

Facilitate advisor setup through internal systems, including WealthServ and carrier platforms.

Partner with Compliance, Technology, and Operations teams to ensure timely activation of advisor profiles and access.

Transfers & Transitions Management

Manage advisor transfers, branch transfers, and book-of-business transitions.

Coordinate carrier appointments, code transfers, and advisor maintenance updates.

Track transition activities and proactively communicate status updates to stakeholders.

Ensure all required documentation is obtained and processed within established service standards.

Licensing & Compliance Support

Validate advisor licensing requirements and regulatory documentation.

Monitor licensing expiries and deficiencies and support remediation efforts.

Ensure onboarding and transition activities adhere to regulatory, carrier, and internal compliance standards.

Carrier & Partner Relationship Management

Liaise with insurance carriers regarding contracting, code requests, and maintenance activities.

Escalate and resolve onboarding and transfer-related issues.

Act as a subject matter expert for carrier onboarding requirements and processes.

Advisor Service & Support

Serve as a primary point of contact for advisors during onboarding and transition periods.

Provide guidance on onboarding requirements, timelines, and system access.

Deliver a professional, responsive, and advisor-centric experience.

Required Qualifications:

2-5 years of experience in insurance operations, advisor onboarding, contracting, licensing, or transfers.

Post-secondary education in Business, Finance, Insurance, or a related field.

Knowledge of MGA operations, advisor contracting processes,



and insurance carriers.

Experience with WealthServ or similar advisor management systems is considered an asset.

Solid understanding of licensing and compliance requirements within the insurance industry.

Excellent organizational, communication, and problem-solving skills.

Demonstrated ability to manage multiple priorities in a fast-paced environment.

Bilingualism (English and French) is a strong asset. If the successful candidate is in Québec, proficiency in both languages will be required to support clients from various provinces outside of Quebec.

Salary range is expected to be between $55,125.00 CAD - $91,875.00 CAD
